Job Summary

The Director of Operations is responsible for the efficient operation of the school's campus and operational services. This position provides leadership for facilities maintenance, campus operations, transportation, and student work programs while ensuring that the school's buildings, grounds, equipment, and support services provide a safe, welcoming, and well-maintained environment for students, faculty, staff, and visitors.

The Director of Operations oversees the facilities team, coordinates the campus facilities calendar, manages the Supplementary Work Program, coordinates extracurricular transportation, and works collaboratively with all departments to support the educational mission of St. Joseph's Collegiate Institute.

Essential Responsibilities

  • Provide leadership, supervision, and support for the maintenance staff.
  • Foster a culture of professionalism, customer service, accountability, and teamwork.
  • Communicate regularly with the President regarding operational priorities, capital needs, and matters requiring attention.
  • Collaborate with faculty, staff, coaches, and administrators to support school operations and special initiatives.
  • Oversees construction projects and serves as the school’s liaison to contractors.
  • Serves as a member of the school’s Leadership Team.

Facilities Operations

  • Direct all maintenance and repair of school buildings, grounds, athletic facilities, and campus infrastructure.
  • Inspect buildings and grounds regularly and prioritize repairs and preventative maintenance.
  • Coordinate outside contractors and service providers as needed.
  • Oversee service contracts, including elevator maintenance, waste disposal, fire systems, and other operational vendors.
  • Assist the Technology Department with data and telephone wiring installation and maintenance.
  • Participate alongside the facilities team in custodial duties, landscaping, snow removal, event setup, and other operational needs.

Facilities Calendar & Event Coordination

  • Manage the campus facilities calendar for internal and external use of school spaces.
  • Coordinate facility usage for academic programs, athletics, performing arts, admissions events, alumni activities, rentals, and community organizations.
  • Collaborate with department leaders to ensure appropriate setup, staffing, equipment, and facility readiness for school events, liturgies, meetings, and special functions.

Supplementary Work Program

  • Manage all aspects of the Supplementary Work Program.
  • Coordinate student work schedules and assignments.
  • Communicate with parents regarding participation and expectations.
  • Coordinate with the Business Office regarding tuition credit updates.

Extracurricular Transportation

  • Coordinate transportation for athletic teams, clubs, field trips, retreats, and other extracurricular activities.
  • Schedule school buses and charter transportation as appropriate.
  • Work closely with the Athletic Department and other school offices to ensure timely and efficient transportation.
  • Oversee bus maintenance, repairs, inspection compliance, and NYS Department of Transportation requirements.

Facilities Committee

  • Serve on the Board Facilities Committee.
  • Attend committee meetings and provide reports on facilities projects, maintenance priorities, capital improvements, and operational initiatives.

Budget & Purchasing

  • Work with the Vice President of Finance to prepare and administer the annual Facilities and Operations budget.
  • Purchase maintenance supplies, equipment, cleaning materials, and replacement parts.
  • Monitor expenditures and seek cost-effective purchasing opportunities.
  • Evaluate long-term capital replacement needs.

Equipment Management

  • Maintain all maintenance and cleaning equipment, including mowers, tractors, utility vehicles, lifts, scrubbers, and related equipment.
  • Evaluate equipment needs and recommend purchases.
  • Maintain accurate maintenance schedules and service records.

School Infrastructure

Oversee maintenance and repair of:

  • HVAC systems (Johnson Controls Building Management System)
  • Plumbing
  • Electrical systems
  • Kitchen equipment
  • Athletic facilities and equipment
  • Theater sound and lighting systems
  • Classroom and laboratory furnishings
  • Building systems and infrastructure

Safety & Security

  • Ensure the maintenance and security of doors, windows, locks, and access control systems.
  • Manage building security systems, cameras, and alarm systems.
  • Respond to alarms and emergency situations as required.
  • Serve as a member of the Crisis Response Team.
  • Assist with evacuation drills, lockdown drills, and campus emergency preparedness.
  • Promote a safe campus environment through regular inspections and corrective action.

Regulatory Compliance

  • Ensure compliance with applicable health, safety, and operational regulations.

Coordinate annual inspections and required reporting with:

  • Fire Inspector
  • NYS Department of Labor
  • NYS Department of Transportation
  • Other regulatory agencies as applicable

Qualifications

  • High school diploma required; associate's or bachelor's degree in facilities management, business, operations, or related field preferred.
  • Experience supervising maintenance, facilities, or operational staff.
  • Experience with budgeting and fiscal management.
  • Strong organizational and project management skills.
  • Ability to manage multiple priorities simultaneously.
  • Excellent communication and customer service skills.
  • Ability to lead teams and work collaboratively across departments.
  • Mechanical aptitude and knowledge of building systems preferred.
  • Valid driver's license.

Compensation

  • $85,000-$105,000 annually; competitive benefits.
