Sheppard, Mullin, Richter & Hampton LLP, a global Am Law 50 firm, is seeking a hard-working, proactive, motivated individual to serve as E-Billing Coordinator.
This position can be based in any of our California offices. The offices are as follows: Downtown Los Angeles, Century City, Orange County, Del Mar, San Diego, Silicon Valley, or San Francisco. There is only one opening.
This position has a remote/hybrid work arrangement, with the expectation to be in the office on an as needed basis.
We are seeking a skilled and detail-oriented Electronic Billing Coordinator to manage the firm's electronic billing processes. The ideal candidate will bring experience with Aderant and proficiency in a variety of eBilling platforms.
The E-Billing Coordinator is a member of Sheppard Mullin’s Billing Department, working on the E-Billing Team. This position reports directly to the E-Billing Supervisor. This role is critical to ensuring the accurate and timely submission of invoices through various eBilling platforms, handling invoice reductions and appeals, submitting accruals, and maintaining seamless communication with partners, clients, and vendors.

Responsibilities:
E-Billing Operations
E-Billing Operations
- Manage high volumes of invoice submissions, reductions, and appeals across multiple e-billing platforms
- Monitor invoice rejections and reductions, and ensure appropriate follow-up with attorneys, secretaries, and clients
- Document and maintain detailed client-specific e-billing guidelines and appeal processes.
E-Billing Platform Management
- Submit invoices, appeals, and monthly/quarterly accruals electronically through various e-billing platforms.
- Utilize BillBlast for tracking, editing LEDES files, and maintaining comprehensive status notes.
- Generate and distribute detailed reports on e-billing activities and metrics.
Process Improvement
- Identify and implement improvements to streamline e-billing processes and ensure compliance with client requirements.
Essential Functions of Job:
- Perform accurate and timely submission of invoices, accruals, and appeals via multiple e-billing vendor platforms.
- Communicate effectively with attorneys, secretaries, clients, and vendors to resolve billing issues.
- Prepare comprehensive reporting to provide insight into billing processes and appeal outcomes.
- Organize and prioritize tasks to meet established deadlines while ensuring accuracy and compliance.
Qualifications and Experience
Required Qualifications:
- Minimum of 3 years of e-billing experience in a large law firm using Aderant.
- At least two years of e-billing experience using platforms such as Legal Tracker (Serengeti), Lexis Nexis CounselLink, Miratech Collaborati, Tymetrix 360, Wolters Kluwer Passport, Allegient, Legal-X, and others.
- Strong organizational and communication skills and ability to meet deadlines.
- High attention to detail
- Excellent responsiveness to communications.
Preferred Qualifications:
- Experience with BillBlast software.
- Familiarity with additional e-billing platforms and software.
Education
Required: High School Diploma or Equivalent
Preferred: Associate's or Bachelor’s Degree
Computer/Software Knowledge
Required:
- 3+ years of experience using Aderant
- Intermediate Proficiency with Microsoft Outlook, Excel, and Word

Intermediate typing skills (at least 40 WPM)
Preferred:
- Experience with BillBlast or similar e-billing management tools.
Work Environment
- You will be based in one of our local Sheppard Mullin offices but will be allowed to work from home.
- Overtime will be required on occasion as the workload demands.
Travel Requirements
Less than 5%, minimal travel may be required for training and/or department/firm meetings.

California: The pay range for this position is $31.00 to $44.00 per hour.
