DESIGNATION : Eexcutive (Facilities Mangement)

RESPONSIBILITIES

Executive (FACILITIES MANAGEMENT), Corporate Governance & Administration

Job Purpose - The Executive (Facilities Management), Corporate Governance & Administration (CGA) will be part of the facilities management team in CGA and will assist in facilities management (including security matters) and equipment/resource management to maintain an optimal office working environment, support Centre renovation work or repair requests, support procurement-related matters to facilitate centralised procurement and bulk purchase, assist in handling insurance matters (public liabilities & motor vehicles), identifying improvement areas in admin processes and providing cluster admin support to increase work efficiency of admin function.

Key Responsibilities

  • Support Facilities Management Supervisor and Department Head in maintaining an optimal office working environment at Woods Square HQ and work with the key point of contact for existing/new tenants at Woods Square HQ and the Woods Square building management office.
  • Supervise all term contractors (including planning of maintenance schedule) and attend swiftly to repairs/breakdowns, security (e.g. door access) and safety matters.
  • Upkeep of first aid supplies and fire-fighting equipment, and assist in coordinating workplace safety exercises e.g. fire drills and annual shutdown or other inspections
  • Maintain contact with relevant external stakeholders with regards to regulatory standards and other pertinent issues, and disseminate information where required
  • Coordinate and put up submissions for the centralised procurement activities (including bulk contract, centralised procurement/payment and recommended vendor list) and provide support to Centre renovation projects or repair requests (where required).
  • Assist in insurance matters on public liabilities and motor vehicles insurance claims (where required)
  • Identify areas of improvements in facilities management or procurement processes
  • Finance ePR submitter/verifier for CGA or centralized transactions
  • Cover Quality Service Management responsibilities under CGA (taking mainline calls and following up on ccs email) and provide logistics support (e.g. during meetings/events) (where required)
  • Any other duties as assigned

Requirements

  • Diploma in Building Management / Facility Management or equivalent with 2-3 years of working experiences in related fields such as facilities management, procurement, project management and office administration. Supervisory experience is an advantage
  • Proficient in Microsoft office & applications (Word, Excel, PowerPoint, Teams). Ability to operate simple AV/IT equipment
  • Good interpersonal and communication skills
  • Additionally should be open to work requirements such as;
  • Ability to handle sensitive and confidential information
  • Able to multi-task and work efficiently
  • Self-motivated, organised, meticulous and problem-solving
  • Willing to travel to Care Corner Centres within Singapore, when required
  • Willing to work beyond standard operational hours, when required


QUALIFICATIONS

Diploma in Building Management / Facility Management or equivalent with 2-3 years of working experiences in related fields such as facilities management, procurement, project management and office administration. Supervisory experience is an advantage
