We are seeking a detail-oriented and experienced Event Coordinator (Operations) to join our team. The ideal candidate will be assisting and executing hospitality events, ensuring seamless service and exceptional guest experiences. This role involves coordinating logistics, pre and post-event planning, managing on-site operations, and working closely with clients, vendors, and staff to deliver high-quality event hospitality.

JOB DETAILS:
➡ Position: EVENT COORDINATOR (OPERATIONS)
➡ Location: 1 Seletar Aerospace Heights, Singapore 797547
➡ Salary: Starting from $2,200 (depending on experience)
➡ 5 Working days per week
Key Responsibilities:
- Pre-Event Responsibilities: Attend weekly event meetings to discuss event details, menu, timeline, and special requests Conduct site visits and confirm venue setup, access, and requirements Arrange for transportation of food, inventory, and supplies to the venue Ensure all permits and contract requirements are met Coordinate with chefs and vendors to finalize food, beverage, and logistics Assign roles and responsibilities to part-timers (if necessary), ensuring clear communication of expectations
- During Event Responsibilities: Oversee event setup, ensuring tables, buffet stations, and service areas are arranged per the event plan Serve as the main point of contact for FOH and kitchen on-site, addressing last-minute changes or requests Monitor food quality, presentation, and portion control Troubleshoot any issues, such as equipment failures Organize and run the BOH during the event (including BOH bar) Ensure health and safety regulations are followed, including food handling and sanitation protocols Handle any unexpected challenges with professionalism and problem-solving skills
- Post-Event Responsibilities: Oversee breakdown and cleanup of the venue, ensuring all catering equipment is packed and transported back Conduct an inventory check to account for all catering supplies and equipment Review event performance, noting any challenges or areas for improvement (To fill in Event Order)
- Other Responsibilities: Assist in ensuring sufficient stocks for fast moving inventory such as water/juices/in-house alcohol Assist in consolidating images for all events (food, BOH location, setup, service area) Assist in consolidating beverage consumption for all events Assist in sourcing for events' inventory (if required) Assist with event admin requirements such as PTW and others Assist in any administrative task assigned by the direct superior
- Major Tasks: Train and manage a team specialized in setting up, tearing down, managing inventory Plan and manage events operations/logistics weekly Assist Head of Service/Operations when needed on pre & post-event workload
Requirements:
- Professional Experience: 1-2 years of experience in a similar role Suitable for individuals who have recently completed their higher education and are beginning their professional careers in hospitality or events industry
- Technical Skills: Basic IT Skills on MS Office or equivalent (e.g., Google Docs/Sheet) Familiarity with mobile applications (e.g., Google Calendar/WhatsApp)
- Language Skills: Basic English (compulsory)
- Personal Attributes: Meticulous and detail-oriented Good organizational skills A team player who is able to interact with all levels of staff
