Executive Assistant to the Managing Partner
Location: Winnipeg, Manitoba
Employment Type: Full-Time
Reports To: Managing Partner
Position Overview
We are seeking a highly organized, proactive, and strategic Executive Assistant to support our Managing Partner. This role is central to the effectiveness of firm leadership and requires discretion, strong judgment, and the ability to anticipate needs.
The Executive Assistant will manage the Managing Partner’s calendar, communications, meeting preparation, and follow-through, while serving as a key liaison between leadership, partners, clients, and firm operations.
This is not a purely administrative role — it is a high-trust position designed to increase leadership leverage and firm efficiency.
Key Responsibilities
- Manage and prioritize the Managing Partner’s calendar, ensuring alignment with firm priorities
- Coordinate internal and external meetings, including partner meetings and key client engagements
- Proactively manage scheduling conflicts and protect strategic time
- Draft and manage correspondence, emails, and communications
- Triage incoming communications and escalate appropriately
Meeting & Project Coordination
- Prepare meeting agendas and briefing materials
- Attend leadership meetings as required and capture action items
- Track follow-ups and ensure accountability across partners and leadership
- Coordinate leadership retreats, planning sessions, and firm events
Firm & Leadership Coordination
- Serve as liaison between Managing Partner and partners, managers, and administrative teams
- Assist in preparing materials for partner meetings and firm communications
- Support onboarding coordination for senior hires or partners
- Help monitor key initiatives and strategic priorities
Client & External Support
- Coordinate high-level client meetings
- Prepare client background summaries and briefing notes
- Draft follow-up communications as required
- Maintain confidentiality in all client and firm matters
Qualifications & Experience
- 5+ years of experience supporting senior executives (professional services experience preferred)
- Experience in accounting, legal, consulting, or similar professional services environment considered an asset
- Exceptional organizational and time-management skills
- Strong written and verbal communication skills
- High level of discretion and professionalism
- Ability to manage competing priorities in a fast-paced environment
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)

Within the first 6 months, the Executive Assistant will:
- Fully manage the Managing Partner’s calendar and email triage
- Establish clear meeting preparation and follow-up processes
- Improve communication flow between leadership and firm teams
- Create structure and efficiency in leadership operations
