Job Summary

Ontario Flower Growers is seeking a highly organized and dependable Executive Assistant / Administrative Coordinator to support daily operations, executive functions, and finance coordination.

This role supports multiple areas of the business and requires someone comfortable managing a range of tasks while shifting priorities, and working closely with leadership.

Duties

  • Manage schedules, calendars, and daily coordination across departments
  • Prepare meeting materials, agendas, minutes, and track follow-ups
  • Coordinate board-related activities and maintain confidential records
  • Assist with accounts payable including invoices, and buyer/grower communication
  • Support Finance Controller with journal entries and financial documentation
  • Maintain and organize files, records, and internal systems
  • Prepare reports, summaries, and internal documentation
  • Coordinate internal events, meetings, and operational initiatives
  • Act as a central point of contact for internal communication and task tracking
  • Monitor deadlines and ensure timely completion of administrative and operational tasks
  • Support general office operations and assist with controller and office manager requests

Requirements

  • 3+ years in an administrative, executive assistant, or similar role
  • Experience supporting finance functions (AP, basic accounting, or bookkeeping)
  • Strong organizational and multitasking skills
  • High attention to detail and accuracy
  • Strong communication skills
  • Comfortable handling confidential information
  • Able to work in a fast-paced, multi-functional environment
  • Able to be adaptive to overall office admin tasks

Pay: $52,000.00-$60,000.00 per year
