About the Role
Curtin University is seeking an experienced and highly organised Executive Assistant to provide professional, discrete and confidential support to the Chief Legal Officer (CLO) and contribute to the broader work of the Legal Services and Secretariat teams.
This is a pivotal role within a small, collaborative Legal Services and Secretariat teams operating in a fast-paced environment. The role focuses not only on the usual co-ordination and efficient operation of the Legal Services and Secretariat Teams, but also on coordinating documents for legal briefs, supporting governance committees and preparing high-quality documentation.
The successful candidate will be a trusted professional who can work proactively and autonomously, anticipating needs and progressing work independently. Given the nature of the work, the role requires exceptional judgement, discretion and integrity, with the ability to manage confidential and legally privileged information appropriately.
This position also works closely with other Executive Assistants across the University and provides support to the wider Legal Services team and secretariat where required, contributing to a collaborative and supportive executive support network.
Key Responsibilities:
- Provide high-level executive and administrative support to the Chief Legal Officer and assist in the coordination of Legal Services and Secretariat meetings, events and key activities.
- Coordinate the preparation and collation of documents to support legal briefs, reports, preparing briefing materials, and supporting governance functions.
- Support Committees, and Working Groups by coordinating agendas, preparing meeting papers, recording minutes, and tracking follow-up actions.
- Manage communications and enquiries on behalf of the Chief Legal Officer, exercising sound judgement when handling confidential, privileged or sensitive matters.
- Proactively manage diary, priorities and workflow, ensuring key tasks, deadlines, and documentation are prepared in advance.
- Develop and maintain effective working relationships with senior internal and external stakeholders.
- Work with the University's executive support team and assist Legal Services and the Secretariat teams as needed.
To succeed in this role, you will bring strong executive or administrative support experience, exceptional organisational capability, and the confidence to operate autonomously in a professional legal environment.
You will demonstrate:
- Extensive experience providing high-level executive, governance or administrative support.
- Excellent organisational skills and attention to detail when working with complex documentation and managing competing priorities.
- High levels of discretion, integrity and sound judgement when managing confidential and privileged information.
- Outstanding interpersonal skills and the ability to build positive relationships with senior stakeholders and colleagues across teams.
- A calm, confident and professional approach, with the ability to remain organised and effective under pressure.
- Advanced Microsoft Office skills and strong digital capability.
- Experience working in a legal environment (such as a legal secretary).
- As this is a continuing (permanent) role, you will require permanent work rights in Australia to be considered

This permanent G06 level role attracts a remuneration of $96,323 - $102,186 (G06) per annum, plus 17% superannuation.
