Description:
Overview of role:
This is a pivotal role providing high-level executive and governance support to the Managing Director (MD), while also supporting the broader Executive Leadership Team and Board Secretariat Team as required.

You will operate at the centre of executive decision-making — managing priorities, maintaining trusted stakeholder relationships, supporting Board governance processes and ensuring the MD’s office runs seamlessly.

This role requires discretion, professionalism, strong judgement and the ability to manage complex and sensitive matters in a dynamic environment.

Key Responsibilities:
  • Provide comprehensive executive support to the Managing Director, including management of complex calendars, correspondence, briefings and workflow priorities.
  • Prepare and coordinate high-quality reports, presentations, meeting papers and executive communications.
  • Act as a key liaison for internal and external stakeholders including Board Directors, senior executives, government representatives and community leaders.
  • Support Board governance processes in collaboration with the Corporate Secretariat Team, including meeting coordination, agenda preparation, Director support and maintaining governance registers.
  • Manage the MD’s budget administration, reconciliations, corporate credit card and financial documentation.
  • Coordinate executive meetings, Board activities, travel, events and official engagements.
  • Contribute to governance, risk management and continuous improvement initiatives within the MD’s office.
  • Maintain strict confidentiality and uphold the integrity and professionalism of the MD’s office at all times.
About you:
You are a highly experienced executive support professional who thrives in a complex, fast-paced environment and operates with absolute discretion and integrity.

You will bring:
Significant experience (7+ years or equivalent) supporting senior executives at executive or Board level
Demonstrated experience maintaining confidentiality, trust and integrity within an executive office
Exceptional organisational skills with the ability to manage competing priorities and tight deadlines
Advanced written and verbal communication skills
Strong judgement and problem-solving capability and the ability to synthesize complex information
Skilled at bridging gaps between cross-functional teams
High proficiency in Microsoft Office and executive-level documentation preparation
Experience supporting governance processes and working with Boards (highly regarded)
A proactive, solutions-focused approach with a continuous improvement mindset

A relevant tertiary qualification or substantial executive-level experience is required.

Salary:
The salary and conditions for this position will be as per the Coliban Water Enterprise Agreement 2021 Band 4 $93,548 - $112,895 plus super salary range will be offered to the successful candidate commensurate with their skills and experience.
