Description:
This is a temporary position until 30 June 2028.

Key Responsibilities and Functions:
Provide high level professional administrative support to the Director of Infrastructure and the Director of Sustainability .
Provision of day-to-day executive support includes handling correspondence, diary management, coordination of requests and their responses, invitation responses, organisation of meetings and processing expenditure reimbursements.
Accurately prepare reports, documents and information ensuring deadlines are met.
Arrange meetings and events both internal and external on behalf of the relevant directorates.
Raise requisitions and processing of invoices, where required.
Provide a high level of customer service in the resolution of specialised customer enquiries.
Assist in the preparation and maintenance of policies and procedures.
Prepare Agendas and Minutes for meetings, as required.
Undertake special projects and research to prepare reports, as required.
Prepare and coordinate distribution of information, as required.
Prepare, maintain and administer processes to ensure compliance with legislation and organizational policies.
Provide an effective communication link between the Director of Infrastructure and the Director of Sustainability, and staff, community and local service providers.
Ensure records are created which will adequately document the business activities in which they take part, and that the records created and received are captured into the appropriate and authorized record keeping systems in accordance with the Records Management Policy.
Development and maintain strong relationships with all internal departments and external stakeholders and organization which are vital to the overall effectiveness of the position.

Skills and Experiences:

Essential qualifications and experience

Extensive experience in an executive support / personal assistant role
Detailed experience in the management of diaries and appointments
High quality oral and written communication skills
Detailed experience in preparing reports, briefings and taking minutes
Experience / understanding of the function of Local Government, CEO & Council

Desirable qualifications and experience

Degree or Diploma with several years of relevant experience or lesser office qualifications with extensive experience is essential.
Experience in all facets of Local Government operations is desirable.
