Position: Executive Assistant to C-Suite Executive
Location: Remote
Category: Flexible, Full-time (30-40 hours)
Hours: 8:00 am PST to 2:00 PM PST (Flexible stop after 2:00 PM PST)
Reports to: C-Suite Executive
Compensation: Fair Market Value, Equity-Based Compensation Model. This is an equity only position until March when the 90-day probationary period is complete and the position transitions to salary.

Role Overview:
This is a critical and exciting opportunity to support the CEO during a pivotal time for SOULCHI. As the Executive Assistant, you will play a key role in optimizing the CEO's time and ensuring smooth coordination of meetings, communications, and projects. With investor and partnership meetings driving our Q4 2024 goals, your proactive approach and strong organizational skills will be essential in keeping everything on track. This role offers the chance to take on significant responsibility, work alongside the CEO in high-level strategic discussions, and make a meaningful impact on SOULCHI's growth and success.
Responsibilities:
- Calendar & Scheduling Management: Optimize CEO's time by managing calendar, coordinating meetings, and ensuring focus and travel time are protected. Proactively adjust schedules based on priorities.
- Communication & Correspondence: Handle all incoming and outgoing communications, prepare key documents, and ensure timely responses or delegation of tasks. Maintain the CEO's Out of Office (OOO) messages and updates.
- Meeting Coordination & Documentation: Organize meetings, set agendas, track action items, and maintain up-to-date meeting documents and resources.
- Project Management in Asana: Support project planning and execution, ensuring tasks are aligned with CEO priorities and deadlines are met. Collaborate with teams for seamless progress.
- Event Planning & Coordination: Assist with organizing corporate events and meetings, ensuring logistics and communications are efficiently managed.
- Confidentiality & Discretion: Handle sensitive information with utmost confidentiality, ensuring compliance with company policies and security tools.
- Communication Liaison: Act as a key point of contact for internal and external communication, ensuring smooth exchanges and effective message delivery.
- Document Management: Organize, maintain, and ensure quick access to important documents and files.
- Research & Data Analysis: Conduct research and gather information to support decision-making and project execution.
- Problem-Solving & Efficiency: Identify workflow improvements, resolve challenges, and act as a gatekeeper to align the CEO's schedule with company goals.
- Technical Support & Onboarding: Provide basic technical support and assist in new hire onboarding and email management when needed.
Qualifications:
- Proven experience executive s as an Executive Assistant, Personal Assistant, or in a similar high-level administrative role, particularly supporting C-suite executives.

Comfortable with technology, including Microsoft Office, Asana, calendar management tools, and communication tools such as Teams
- Highly preferred experience with LinkedIn platform management, Lemslist, Apollo io, AI, CRM.
- Strong background in managing calendars, scheduling, and organizing meetings and events.
- Excellent verbal and written communication skills, with attention to detail.
- Ability to multi-task, prioritize, and operate in a fast-paced, high-demand environment.
- Ability to handle sensitive and confidential information with professionalism.

Equity-Based Compensation Opportunity:
As part of the SOULCHI team, you'll take part in our equity-based compensation model, aligning your success with the success of our business. After much research, we have found the fairest equity model for a startup. We use the Slicing Pie model. The first phase is equity-based only, which we are currently in. Equity calculations move dynamically based on your fair market rate and actual number of hours worked. In the second phase, which happens at the break-even point, the equity freezes at each member's current earned percentage, and compensation switches to salary + benefits. Your equity percentage gets paid out annually as part of the profit sharing. This is more than a job; it's an opportunity to own a piece of the future.

As such, we offer flexibility in working hours for the Executive Assistant role, with the opportunity to work anywhere between 30 to 40 hours per week, depending on the candidate's availability and suitability for the role. Laptop is required.
