Executive Assistant To Gm, Group Finance

How will I help?

This is an exciting opportunity for an experienced executive assistant to provide executive co-ordination and support to the General Manager of Group Finance and leadership team. The role is a central point of contact for the Group Finance team including across other senior leaders and our partners. The role requires exceptional interpersonal, communication, organisational and prioritisation skills, as well as a high degree of professionalism, confidentiality and attention to detail.

Key responsibilities will include:

  • Proactively manage GM diary, agendas, commitments and emails including facilitating relevant approvals, audit trails and supporting papers / documentation
  • Organise meetings or event room bookings, guests, catering, travel management and or equipment (as required) including supporting the LT or broader team
  • Timely and accurate expense management – invoice approvals, pCard reconciliations, etc.
  • Update General Manager on matters requiring urgent or personal attention, with associated deadlines and relevant documentation
  • Professionally dealing with senior management including other GEs and GMs and their offices in an environment that is often changing and where there are tight deadlines involved.
  • Manage Distribution Lists, secure / restricted site, meeting rooms, drives and other access
  • Finalisation of papers and timely delivery to Group CFO Office or Company Secretariat for distribution to Board and other Group Committees and forums
  • Ensure remuneration changes, leave, people structures, training, compliance.

What do I need?

  • Ability to use Microsoft Office (Word, Excel) and PDF (Nitro) packages
  • Relevant experience in providing executive level administrative support
  • Comfortable operating at an Executive level and managing to tight deadlines
  • Proficient in prioritising, organising and managing multiple tasks at one time
  • Ability to work with and manage sensitive and confidential information and conversations
  • Able to exercise initiative, analytical skills, attention to detail, problem solving, interpersonal and communication skills to achieve effective outcomes
