Key Responsibilities


Primary Administrative Duties
  • Management of Partner’s schedules and business travel.
  • Co-ordinating internal and external meetings.
  • General office duties (answering phone, filing, opening post etc.).
  • Ensure that all correspondence is filtered and prioritized swiftly and efficiently.

Client Onboarding
  • Conflict checks.
  • Review of KYC/AML documentation.
  • Management of internal risk management queries.
  • Creating and the upkeep of job codes.

Finance
  • Management of monthly financial cycle.
  • Client billing.
  • Management and tracking of all team members time output, client outlay, debtors and cash receipts.
  • Partner timesheets.

People Management
  • Management of all team leave (including annual, study leave etc.).
  • Organising team events.

Project Work
  • The management and co-ordination of all non-technical VAT department project work (including VAT website upgrade, template documents etc.).


Skills, Knowledge and Expertise


  • Minimum of two years’ experience in a similar position.
  • Strong IT skills with experience of Microsoft Outlook, Word, Excel and PowerPoint.
  • Proactive with a ‘can do’ attitude.
  • The ability to work on own initiative and to tight deadlines.
  • Strong time management and organizational skills.
  • The ability to work under pressure and to meet deadlines.
  • Excellent written and verbal communication skills.
  • Confident and articulate with the ability to represent the company and deal with clients and executive staff at the highest levels.
  • Ability to manage multiple tasks with excellent attention to detail.
