Overview
We are seeking a highly organized and proactive Executive Assistant / Office Manager to support our executive team and oversee daily office operations. This role requires a professional with strong administrative skills, excellent communication abilities, and proficiency in various office software. The ideal candidate will be detail-oriented, resourceful, and capable of managing multiple tasks efficiently in a fast-paced environment.

Responsibilities

  • Proactively manage administrative and operational tasks to support executives and the broader team
  • Anticipate needs, flag issues early, and propose solutions before being asked
  • Coordinate calendars, meetings, travel, and logistics with attention to detail
  • Handle internal communications, follow-ups, and action items to ensure nothing falls through the cracks
  • Maintain organized records, documents, and systems
  • Oversee office operations (supplies, vendors, invoices, basic facilities coordination)
  • Assist with special projects and process improvements as the company grows
  • Act as a reliable point of contact who can be trusted with sensitive information

Experience

  • Previous office experience or administrative support roles preferred.
  • Familiarity with Accounting Systems (Odoo/Quickbooks etc), Microsoft Office Suite (Word, Excel, PowerPoint), and Google Workspace is highly desirable.
  • Experience with bookkeeping, data entry, filing systems, and front desk management is a plus.
  • Strong sense of ownership and accountability
  • Naturally proactive—comfortable taking initiative without constant direction
  • Excellent organizational and time-management skills
  • Clear, professional communication (written and verbal)
  • Ability to prioritize, adapt, and stay calm in a fast-paced environment
  • Problem-solver mindset with attention to detail
  • Tech-savvy and comfortable learning new tools and systems
  • Experience in an administrative, office management, or executive support role is a must
  • Proven customer service skills with a friendly demeanor and excellent communication abilities. Job Types: Full-time, Permanent

Pay: $60,000.00-$80,000.00 per year
