Executive Assistant – Château Le Jardin Event Venue

Position Overview

Château Le Jardin Event Venue is seeking a highly organized and professional Executive Assistant to support the Director of Events and assist with the daily administrative and front office operations of the venue. This role requires strong communication skills, attention to detail, and the ability to multitask in a fast-paced hospitality and events environment.

The Executive Assistant will play a key role in data entry, client communication, administrative coordination, and front desk operations, while helping ensure exceptional service for all clients and guests.

Schedule

Full-time hours with flexibility required, including availability to work one weekend day.

Key Responsibilities

Executive & Administrative Support

  • Provide direct administrative support to the Director of Events
  • Assist with data entry, documentation, and maintaining accurate client and event records
  • Help coordinate schedules, meetings, and event-related administrative tasks
  • Prepare and organize event files and internal documentation
  • Maintain clear and consistent communication with management regarding client updates and operational matters

Executive Support & Client Communication

  • Serve as a key point of contact by screening and answering phone calls on behalf of the Director of Events
  • Assist in managing incoming client inquiries and directing communication appropriately
  • Maintain professional and timely communication with clients, vendors, and internal team members
  • Support the Director of Events with administrative coordination, follow-ups, and client correspondence
  • Assist in maintaining a clean, organized, and efficient office environment
  • Help ensure daily administrative operations run smoothly and meet company standards

Client Communication & Coordination

  • Communicate regularly with clients to ensure their expectations and requests are clearly understood
  • Assist with handling client inquiries, concerns, and requests in a professional and timely manner
  • Support the events team in maintaining strong client relationships
  • Provide information to supervisors, coworkers, and management through phone, email, and in-person communication

Customer Service Excellence

  • Deliver exceptional service that goes above and beyond to ensure client satisfaction
  • Assist in resolving guest concerns, complaints, and conflicts when necessary
  • Gather feedback from clients regarding service quality and overall satisfaction
  • Promote a positive and professional guest experience at all times

Office & Operational Support

  • Provide direct administrative support to the Director of Events, assisting with daily coordination, scheduling, and internal communications related to upcoming events.
  • Manage data entry and organization of client files, contracts, and event details, ensuring all information is accurate and up to date.
  • Assist with client follow-ups, phone calls, and correspondence on behalf of the Director of Events, helping maintain clear communication with clients and vendors.
  • Support event planning operations by preparing documentation, tracking event timelines, and organizing internal reports and meeting notes to ensure smooth execution of events.
