Position Overview

We are seeking a highly organized and detail-oriented Admissions & Administrative Coordinator with prior experience in a Private Career College (PCC) environment. This role is critical in managing the full student lifecycle—from initial inquiry to enrollment—while ensuring smooth administrative operations and compliance with Ontario Ministry standards.

Key Responsibilities

Admissions & Student Enrollment

  • Manage student inquiries via phone, email, and in-person consultations
  • Conduct admissions interviews and guide prospective students through the enrollment process
  • Evaluate applicant eligibility in accordance with program and Ministry requirements
  • Prepare and process enrollment documents, contracts, and student files
  • Assist students with OSAP-related inquiries and documentation, including guidance on application processes and required paperwork
  • Maintain accurate admissions records in compliance with regulatory standards

Administrative Operations

  • Maintain organized student records (digital and physical) in accordance with PCC/MTCU compliance
  • Support scheduling, class coordination, and internal communications
  • Assist with audits, inspections, and documentation for Ministry compliance
  • Coordinate with faculty and management regarding student progression and documentation
  • Manage front desk operations and provide professional customer service

Compliance & Reporting

  • Ensure all admissions and student documentation meet Ontario Private Career College (PCC) standards
  • Support data tracking, reporting, and internal quality assurance processes
  • Maintain confidentiality and adhere to PHIPA and institutional policies

Qualifications & Requirements

  • Mandatory: Previous work experience in a Private Career College (PCC) in Ontario
  • Familiarity with OSAP processes, including student eligibility, documentation, and application support
  • Strong understanding of admissions processes and Ministry compliance requirements
  • Excellent organizational and multitasking skills
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and student management systems
  • Ability to work independently and in a fast-paced environment
  • Professional demeanor and strong interpersonal skills

Preferred Qualifications

  • Experience with PARIS reporting / Ministry documentation
  • Experience using platforms such as Google Classroom or student information systems

Job Type: Contract

Pay: $21.00-$25.00 per hour

Work Location: In person
