The Australian National Maritime Museum is seeking an experienced Facilities Projects Coordinator with strong communication and organisation skills to join our Facilities team in this full-time, ongoing APS Level 6 position.

The Facilities Projects Coordinator role is a highly autonomous all-round role, coordinating multiple projects simultaneously being responsible for planning, directing and coordinating the activities of all museum-designated projects to ensure that the Facilities objectives are achieved on schedule, within the approved budget, and to the required standard.
This role requires effective coordination among various stakeholders, including contractors, vendors, and internal teams, as well as the ability to navigate unexpected issues and changes while maintaining clear communication and alignment with the Museums goals.
The role will develop and implement an efficient and effective project and change management system for the museum that is adaptable to a range of complex projects in terms of type and scale.
Please note: This recruitment process is intended to fill both current and future vacancies. While the position on offer is ongoing, a merit pool of suitable applicants may be established to fill similar ongoing and non-ongoing positions within the next 18 months.
Key Accountabilities
Under limited direction, this position is responsible for delivering the following functions:
- Undertake procurement of goods and services, process purchase orders, receipt goods and ensure prompt payment of vendors in compliance with museum policies, and other legislative requirements.
- Manage key supplier contracts by monitoring service level performance (considering staff feedback) and implementing performance improvement plans as needed.
- Development and implementation of project management policies and procedures in accordance with the commissioning and project delivery framework established by the Executive Group.
- Monitor government regulations related to museum-designated projects, ensuring compliance by clearly identifying requirements and implementing appropriate planning, specifications, and contractual documentation.
- Ability to review policies and procedures on an annual basis and revise as required to improve performance.
- Develop and implement site optimisation strategies and business transformation initiatives to ensure the museum effectively utilises the current site.
- Develop clear and straight forward plans that will meet project scheduling and budgets.
- Knowledge and understanding in the use of Microsoft office & teams.
- Knowledge and understanding in the use of project management programs and tools.
- Proven ability to implement, maintain and apply cost control systems to improve the effectiveness of project management, cost control, and management reporting.
- Proven record managing projects and business as usual budgets, supplier contracts and fostering successful working relationships with suppliers and service providers.
- Effective leadership and management skills with a strong focus on the ability to manage and lead a team through cultural as well as professional challenges ensuring a positive and productive outcome is reached.
- Expresses original thinking and creativity which meets challenges, generates suggestions for improving work, with innovative approaches and ideas.
Qualifications and/or relevant experience required
Desirable:
- Boat licence.
- Knowledge and/or appreciation of maritime history.
- Vehicle license.
- Preferred requirement Diploma of Project management.
