The Factory Administration Assistant / Manager will oversee and streamline the daily administrative, operational, and facility operations of our unit. individual serves as the backbone of the factory, ensuring seamless coordination between shop-floor labor, vendor management, regulatory compliance, and executive management to maximize productivity and maintain a safe working environment.

Key Responsibilities

Facility & Office Operations

Housekeeping management: Oversee daily cleaning, sanitation, and waste disposal protocols across the factory and office spaces.

Asset maintenance: Schedule and track routine maintenance for office equipment, utilities (power, water, internet), and facility infrastructure.

Security supervision: Manage gate controls, CCTV monitoring, security personnel deployment, and visitor logs.

Supply management: Maintain all type inventory and procure office stationery, pantry items, and safety consumables (PPE),etc.

Labor & HR Administration

Attendance tracking: Manage daily biometric or manual attendance logs for both permanent workers and contractual labor.

Contractor coordination: Liaise with labor contractors to ensure adequate manpower supply according to production demands.

Grievance handling: Act as the first point of contact for workers' administrative issues, leave requests, and payroll queries.

Welfare management: Oversee factory canteen operations, drinking water availability, and basic first-aid station readiness.

Compliance & Liaisoning

Statutory adherence: Assist management in maintaining records required for local factory acts, labor laws, and environmental regulations.

Document control: Organise and update licenses, renewals, control of all certificates, and insurance policies.

External liaisoning: Coordinate with local authorities, utility boards, and neighborhood bodies under the guidance of senior management.

Logistics & Dispatches Support

Supervision: Personally ensure that every container/truck loading and unloading operation is executed with Quality & Quantity.

Resources: Dynamically arrange and align all required ground supports on short notice as required

Gate & Weighbridge Control: Oversee & Verifying physical counts and material grades against delivery challans, invoices, and purchase orders before authorizing gate entry or exit.

Courier & dispatch: Manage incoming and outgoing courier services, maintaining accurate tracking registers.

Technical & Core Skills

Software proficiency: Strong hands-on experience with MS Office (Word, Excel) and basic email communication.

Regulatory familiarity: Basic understanding of factory laws, safety standards, and labor regulations.

Language skills: Fluency in Gujarati (essential for communicating with workers) and working knowledge of English/Hindi.

Soft Skills

Problem-solving: Ability to handle on-the-ground conflicts and sudden operational bottlenecks independently.

Multitasking: High adaptability to juggle multiple administrative responsibilities in a fast-paced environment.

Assertiveness: Strong personality to manage ground labor while maintaining a respectful workplace.

Required Qualifications & Skills - Education & Experience

Degree holders: Bachelor’s degree in Business Administration, Commerce, Human Resources, or a related field.

Experience level: 2–5 years of administrative experience specifically within a manufacturing or industrial environment (MSME experience preferred).

Job Type: Full-time

Pay: ₹20,000.00 - ₹30,000.00 per month
