About the Role:
  • Serves as the first point of contact for all clients, visitors, and employees at Center for Hope. The Coordinator is responsible for all front desk and reception services, including managing access to the site, answering phones, directing visitors, ordering office supplies, and the general appearance of the common areas. Administratively, the Coordinator serves as the Billing Coordinator for Center for Hope, managing bills, invoices, and purchase orders as well as processing requests and receiving purchases. The Family Services Coordinator assists in managing vendor relationships and internal communication with billing departments. Additionally, the Family Services Coordinator supports the Center for Hope agency wide in administrative and clerical tasks.

KEY RESPONSIBILITIES:

  • Serves as the first point of contact for all clients, visitors, and employees.
  • Greets, screens, checks in, and directs all visitors to their destination or service.
  • Supervises caretakers, children, and visitors while in the lobby and common space and ensures client confidentiality.
  • Be familiar with the daily schedule of CFH and have knowledge of all departments.
  • Ensure daily schedules are sent out in Teams.
  • Ensures that the front desk has continual coverage and assumes responsibility for the telephones, gate, and front door entry operations.
  • Maintains brand standards in the lobby, kitchen, hallways and common spaces throughout the center.
  • Serves as Billing Coordinator for Center for Hope.
  • Supports Center for Hope agency-wide in administrative and clerical tasks.
  • Maintain inventory of office supplies and manage requests for additional supplies.
  • Supervise incoming and outgoing mail and receiving deliveries.
  • Manage bills and invoices for Center for Hope departments.
  • Process checks from vendors and donors and complete bank deposits for Center for Hope.
  • Maintain list of frequent vendor contacts and build and maintain relationships with vendors and internal and external billing personnel
  • Establish purchase orders and check requests as needed.
  • Assist in purchase orders for capital requisitions.

REQUIREMENTS:

  • Education: HS Diploma/GED required
  • Experience: Prior administrative experience
