About the Niagara Grape & Wine Festival

The Niagara Grape & Wine Festival is a signature Niagara event celebrating the region’s wine, food, culture, and community. We're seeking a Finance and Administration Officer to join our team and play an important role in supporting the financial and administrative operations of the organization and its annual Festival.

This is an excellent opportunity for an organized, detail-oriented professional who enjoys working in a dynamic environment and is comfortable balancing day-to-day financial responsibilities with seasonal event activity.

About the Role

Reporting to the Executive Director, the Finance & Administration Officer is responsible for the organization’s day-to-day financial administration, bookkeeping, payroll, reporting, contracts, grants, and event-related financial processes.

The successful candidate will work closely with the Executive Director, Festival team, Board Finance Committee, external auditors, sponsors, winery partners, suppliers, and other stakeholders.

Key Responsibilities

Financial Management

  • Manage day-to-day bookkeeping, including general ledger, accounts payable, accounts receivable, and payroll.
  • Prepare monthly financial statements, reports, reconciliations, and budget-to-actual reporting.
  • Assist with annual budget preparation and monitor revenues and expenditures throughout the year.
  • Ensure timely and accurate government and statutory remittances, including CPP, EI, income tax, GST/HST, Employer Health Tax, and WSIB.
  • Maintain accurate financial records and supporting documentation.
  • Manage accounts receivable, including invoicing, statements, and follow-up on outstanding balances.
  • Prepare financial information for Board meetings and the Annual General Meeting.
  • Coordinate information and documentation required for the annual external audit.

Festival & Event Finance

  • Manage financial administration related to Festival activities, including winery partner reconciliations and Discovery Pass reporting.
  • Prepare purchase orders, invoices, credit memos, and partner payments.
  • Reconcile e-commerce ticketing and on-site sales.
  • Ensure suppliers and partners are paid according to contractual terms.
  • Maintain financial records that support accurate post-Festival reporting.

Administration, Contracts & Grants

  • Prepare and administer contracts and invoices for winery partners, sponsors, community partners, and other Festival stakeholders.
  • Track sponsorship deliverables and maintain a sponsorship compliance system.
  • Assist with grant applications, budgets, reporting, and compliance requirements.
  • Track grant expenditures, recognition requirements, and reporting deadlines.
  • Maintain the annual Festival milestone calendar and monitor key organizational deadlines.
  • Work collaboratively with Festival staff to ensure commitments and deliverables are completed on time.

Human Resources Support

  • Support administration of employee benefits and insurance programs.
  • Monitor relevant employment and workplace legislation and assist with organizational compliance.
  • Monitor regulatory changes affecting the not-for-profit sector.

What We're Looking For

The ideal candidate is a highly organized and detail-oriented professional who enjoys working independently while being part of a collaborative team.

You bring:

  • Experience in bookkeeping, accounting, financial administration, or a related field.
  • Strong knowledge of accounts payable, accounts receivable, payroll, reconciliations, and financial reporting.
  • Excellent attention to detail and accuracy.
  • Strong organizational and time-management skills, with the ability to manage multiple priorities and deadlines.
  • Proficiency with accounting software and Microsoft Office, particularly Excel.
  • Strong written and verbal communication skills.
  • The ability to maintain confidentiality and handle sensitive financial information professionally.
  • Experience in a not-for-profit, event, hospitality, tourism, or festival environment is an asset.
  • Experience with grant administration or sponsorship management is an asset.

Work Environment

  • 4 days per week working from the Festival office in downtown St. Catharines.
  • 1 day per week working remotely.
  • Occasional evenings and weekends required to support Festival events and activities.

Pay: From $70,000.00 per year
