The Role

This role is focused on the day-to-day financial and ERP operations within MachineLab. You will take ownership of purchase orders, invoicing, cash flow tracking, and financial accuracy across the business.

You will work closely with finance, purchasing, and operations to ensure all transactions, production orders, and supplier activities are correctly reflected in the ERP system and Xero.

Key ResponsibilitiesFinance & Accounts (Core Focus)

• Manage all financial activity within Xero (essential requirement)
• Raise and manage purchase orders (POs) within the ERP system
• Process and reconcile supplier invoices against POs and delivery notes
• Generate and issue sales invoices, ensuring accuracy and timeliness
• Monitor and actively chase outstanding receivables
• Prepare and execute supplier payment runs
• Maintain and update cash flow reports and forecasts
• Support accounts payable and receivable processes
• Liaise with suppliers and customers on financial queries

ERP & Production Tracking

• Maintain accurate, real-time data within the ERP system
• Track and validate production orders against financial data
• Update project costs, margins, and reporting inputs
• Ensure all purchasing, invoicing, and stock movements are correctly recorded

Purchasing & Supplier Coordination

• Follow up on supplier orders, delays, and shortages
• Maintain accurate supplier pricing and purchasing data
• Support alignment between purchasing, finance, and delivery timelines

Reporting & Financial Control

• Support monthly reporting and financial tracking
• Assist in monitoring project profitability and cost control
• Work with external bookkeepers/accountants to ensure clean records

Administration Support (Light)

• Maintain organised documentation within ERP and internal systems
• Support basic payroll inputs and admin where required

The Ideal Candidate

• Strong experience in finance, accounts, or ERP-driven operations
• Proven experience using Xero (non-negotiable)
• Comfortable managing POs, invoicing, cash flow, and supplier payments
• Experience working with ERP systems in a production or engineering environment is a plus
• High attention to detail with strong organisational skills
• Able to manage multiple financial workflows simultaneously
• Direct, clear communicator who can deal with suppliers and internal teams

• Monday to Friday, 8-hour shift
• On-site at MachineLab

Job Type: Full-time

Pay: €37,000.00-€45,000.00 per year
