Job Overview

We are seeking an experienced and analytical Financial Specialist to join our finance team. The Financial Specialist will play a critical role in maintaining the financial health of the organization by managing bookkeeping, payroll, accounts payable and receivable, financial planning, and tax management.

Key Responsibilities

Bookkeeping and Financial Records

  • Accurately record all financial transactions, including income, expenses, and payments, in the appropriate accounting systems and ledgers.
  • Maintain the general ledger, posting and reconciling entries to ensure accuracy.
  • Reconcile bank statements and resolve discrepancies promptly.
  • Prepare monthly, quarterly, and annual financial reports for internal review and external audits.

Payroll Processing and Compliance

  • Process payroll accurately and on time, including regular, bonus, and off-cycle payments.
  • Code payroll to jobs if applicable.
  • Verify payroll data in collaboration with HR, ensuring accurate hours, PTO, and deductions.
  • Manage compliance with federal, state, and local payroll tax regulations.
  • Prepare data for quarterly payroll tax filings and collaborate with an external CPA or tax consultant for submission.

Accounts Payable and Receivable

  • Process vendor invoices, verify accuracy, and prepare payments (checks, electronic transfers, ACH payments, etc.).
  • Issue client invoices promptly and track outstanding balances.
  • Monitor AR aging reports and follow up on overdue accounts to ensure timely payments.
  • Perform monthly AP/AR reconciliations and resolve discrepancies.

Tax Compliance Support

  • Gather and prepare data for federal, state, and local tax filings.
  • Collaborate with external CPA or tax consultant to ensure compliance and timely submission of quarterly and annual returns.
  • Maintain accurate tax records and identify compliance needs for multi-state operations.

Collaboration with HR

  • Coordinate payroll data with HR, including onboarding, offboarding, and benefits deductions.
  • Provide financial support for employee-related matters such as final payroll calculations during terminations.

Qualifications:

  • Bachelor’s degree in Accounting, Finance, or a related field.
  • Certified Public Accountant (CPA) designation is a plus.
  • Proven experience as a Payroll Expert, Bookkeeper, Accounts Receivable, and Accounts Payable.
  • Comprehensive knowledge of GAAP (Generally Accepted Accounting Principles) and financial regulations.
  • Proficiency in accounting software and Microsoft Excel.
  • Proficiency in Quickbooks Online.
