As Freight Reservation Assistant you will be responsible for converting and handling all freight requests in a professional manner received from customers through all communication channels.
You will be involved in the following activities:
Customer communication
· Liaise with all customers via different communication channels giving them up-to-date information on their cargo, space and drivers within the company’s care.
· Register freight bookings and train customer representatives for their own online bookings via Brittany Ferries (BF) portal.
· Assist and help customers on relevant process or procedures which they may need
· Contacting clients in the event of disrupted or cancelled sailings, providing alternative sailings.
Freight Bookings
· Responding to booking enquiries received by phone, e-mail and confirming, wait listing or offering alternatives using current or future BF Booking system.
· Monitoring future bookings by contacting clients to ensure utilisation and confirming vehicle details.
· Internally collaborate with Commercial Managers to ensure that the vessels are utilised to full capacity.
· Process hazardous & explosive reservations on behalf of customers via BF online application following company guidelines
· Process exceptional bookings (abnormal, heavy loads, livestock, cabins) following company guidelines
· Handle service disruption following company guidelines
· Collate various manifests for each sailing in line with the company guidelines
· Communicate with port and terminal staff to ensure smooth and efficient running of the vessel and terminal operations.
· Provide support weekend on-duty calls on a voluntary roster basis
Profile required:
We are looking for a dynamic and passionate individual who is ready to take on the challenges of Freight Reservation with flying colours. Experience within shipping, transport, tourism or FMCG (Fast-Moving Consumer Goods) industry is an advantage. To preferably be a Graduate/Degree level or equivalent by experience.

The profile we're looking for:
- You are proactive and able to work on your own initiative and as part of a team.
- You are comfortable taking ownership of projects and provide recommendations, i.e. you have developed a mentality of problem-solver towards customers.
- You are able to work well under pressure, meeting deadlines, having a high degree of flexibility
- You have very good communication and customer service skills, you are proactive
- You speak very well English. A second language like French or Spanish is strongly recommended to master.
- You have a sense on how to use Transport Reservation/ Booking System and you have skills and general knowledge of computer systems such as Outlook, Word, Excel, PowerPoint, etc...
- You are attracted to sea ferries and have a sense of shortsea routes/ships.
Training will be provided for the processing of bookings in BF inhouse system as well as of hazardous and explosive loads via on-ground and on-line e-learning courses.
Role is based in Poole, Dorset at the Poole Freight Reservations department. Hybrid (remote/office) working possible by arrangement with line manager and in line with BF policy.
This is a temporary contract for 12 months.
