Overview
We are seeking a professional and organized Front Desk Agent to join our team. This role is vital in providing exceptional customer service, managing administrative tasks, and ensuring smooth daily operations at our office or medical facility. The ideal candidate will possess strong clerical skills, proficiency in office software, and excellent communication abilities to support both clients and staff effectively.
Duties
- Greet visitors and clients warmly upon arrival, ensuring a positive first impression
- Manage multi-line phone systems, directing calls appropriately and providing excellent phone etiquette
- Handle data entry tasks accurately using Microsoft Office, Google Workspace, and other relevant software
- Maintain organized filing systems, including document management and record keeping
- Assist with appointment scheduling and calendar management for staff or practitioners
- Perform clerical duties such as proofreading documents, managing correspondence, and preparing reports
- Support bookkeeping activities using QuickBooks or similar accounting software
- Manage front desk operations including checking in patients or clients, verifying insurance information, and processing payments if applicable
- Ensure the reception area remains tidy and welcoming at all times
- Provide customer support by addressing inquiries promptly and professionally
Experience
- Prior office experience preferred, especially in administrative or clerical roles
- Experience with front desk operations in medical or dental offices is highly desirable
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Familiarity with QuickBooks or bookkeeping software is a plus
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
- Excellent typing speed and accuracy for data entry tasks
- Good proofreading skills to ensure error-free documentation
- Demonstrated customer service skills with a professional demeanor and strong phone etiquette
- Experience handling multi-line phone systems and managing appointments or schedules

Job Type: Part-time
