Job Summary:
We are seeking a professional and friendly Receptionist to manage our front desk on a daily basis and perform a variety of administrative and clerical tasks. The ideal candidate will have excellent communication skills, be organized, and possess a customer-service-oriented mindset. The Receptionist will be the first point of contact for visitors and clients, ensuring that they receive a warm and welcoming experience.
Key Responsibilities:
- Greet and Welcome Visitors:
Greet clients, employees, and guests in a friendly and professional manner; direct them to the appropriate person or department.
- Answer and Direct Phone Calls:
Answer incoming calls, take messages, and direct calls to the relevant personnel. Ensure all calls are answered promptly and courteously.
- Manage Reception Area:
Maintain a clean and organized reception area. Ensure that the reception area is welcoming and properly stocked with necessary supplies (e.g., brochures, forms, etc.).
- Schedule Appointments and Meetings:
Manage calendars and schedule meetings, appointments, and interviews as required. Assist in coordinating and setting up meeting rooms.
- Mail and Package Handling:
Receive, sort, and distribute incoming mail and packages. Coordinate outgoing mail and deliveries.
- Administrative Support:
Provide general administrative and clerical support including filing, data entry, and maintaining office supplies inventory.
- Maintain Security Protocols:
Monitor visitor access and maintain security by following procedures (e.g., signing-in visitors, issuing visitor badges). Ensure all guests are escorted as necessary.
- Manage Office Communication:
Monitor office emails, and relay important communications to relevant personnel. Assist with basic inquiries and route non-routine inquiries to appropriate staff.
- Handle Customer Inquiries:
Address customer or visitor concerns in a friendly and professional manner, ensuring that issues are resolved promptly or referred to the appropriate department.
Preferred Skills:
- Experience with office management software (e.g., scheduling tools, CRM systems).
- Basic knowledge of administrative procedures.
- Ability to work in a fast-paced environment and adapt to changing priorities.
- Strong written and verbal communication skills.
- Professional appearance
- Friendly, approachable, and able to maintain a positive attitude under pressure.
Job Type: Full-time
Pay: ₹22,000.00 - ₹25,000.00 per month
