This job requires some Saturday hours in rotation with the other receptionists. If you cannot work some Saturday’s, please do not apply.
The front desk at TSMG holds the extremely high responsibility of being the first and last impression for our patients. Enhancing the patient experience is our number one priority!
Job Responsibilities Include:
1. Patient Intake & Referral Management
- Manage referral intake and processing, ensuring accurate data entry and timely routing.
- Verify all referral information is complete and flag missing information for follow-up.
- Assist with new patient onboarding and intake documentation.
2. Phone & Front Desk Communication
- Answer phones promptly and route calls to the appropriate team member.
- Handle patient questions and concerns professionally and escalate when needed.
- Maintain a welcoming and friendly environment for all patients and visitors.
3. Scheduling & Daily Workflow
- Maintain scheduling accuracy and consistency for all providers.
- Schedule evaluations, follow-up visits, and progress notes according to clinic protocols.
- Notify the Admin Supervisor or Front Desk Coordinator of any scheduling issues, provider gaps, or concerns.
4. Administrative Accuracy
- Ensure proper paperwork is completed by patients before treatment.
- Maintain accurate patient account details, including insurance information, demographics, and notes.
- Assist with verifying insurance alerts by routing them to the appropriate staff member.
5. Orthotics & Retail Tasks
- Unbox orthotics daily and call patients to schedule.
- Continue to call orthotics disbursements not scheduled every 2 days.
- Collect payments for orthotics and other cash services as dictated by the CO sheet
- Assist with retail displays and patient education as directed.
6. Payments & Collections
- Handle over-the-counter collections for copays, deductibles, and past-due balances.
- Ensure accurate posting of payments and proper financial documentation.
- Notify the Administrative Supervisor of patient billing concerns or patterns.
7. Task Completion & Clinic Support
- Complete daily front desk tasks (opening, closing, scanning, reminders, call lists, etc.).
- Maintain front desk cleanliness, organization, and supply levels.
- Support clinical staff with administrative needs when appropriate and directed.
- Hours are at Knox location are: Monday, Wednesday, Thursday, 9-6 & Tuesday, Friday 7-4.
- Hours at HV location are Monday, Wednesday, Friday 7am to 4pm and Tuesday, Thursday 9am to 6pm
- Occasional Saturdays 8am-2pm with paid overtime at Knox location.
Qualifications:
Punctual, dependable, with good communication skills, take pleasure and satisfaction in doing a great job.
Healthcare receptionist experience a plus. EMR software a plus. Competitive pay and full benefits available.
