We are a premier aesthetic clinic group dedicated to delivering exceptional client care and top-tier aesthetic treatments. We are currently seeking an enthusiastic, dynamic Full-Time Front of House Receptionist to split their time between our Athlone and Mullingar locations.

Role Overview

The Front of House Coordinator is the face and heartbeat of our clinics. You will be the first point of contact for our clients, ensuring a seamless, high-end journey from their initial inquiry to post-treatment follow-up. This role requires flexibility to work across both our Athlone and Mullingar branches, excellent administrative capabilities, and a keen eye for clinic presentation.

Key Responsibilities

1. Client & Patient Management

• First Impressions: Greet all clients warmly, manage check-ins, and ensure waiting areas are pristine and welcoming.
• Scheduling: Handle inbound phone calls and emails, booking appointments efficiently while optimizing the practitioners' diaries.
• Consultations & Enquiries: Guide clients through initial treatment enquiries with confidence, to ensure they are directed to the correct consultation booking.
• Payment Processing: Handle billing, manage deposits, and process sales accurately at the desk

2. Clinic Standards and Operating Phorest system

• Phorest Expertise: Utilize the Phorest Salon Software platform daily to manage bookings
• Clinic Standards: Uphold impeccable hygiene, organization, and visual standards across reception, waiting areas, and treatment rooms in alignment with company standards.

Key Requirements

• Experience: Minimum 1 years of experience in a high-end customer service, reception, or front-of-house role—ideally within the aesthetic, beauty, or luxury wellness sector.
• System Skills: Phorest experience is highly ideal (or proven fluency in advanced salon/clinic booking software).
• Interpersonal Skills: Exceptional communication, a warm phone manner, and the ability to handle sensitive client inquiries.
• Organizational Skills: Strong multitasking abilities, attention to detail, and comfortable supporting stock control and clinic administration.
• Flexibility: A full driver's license and the flexibility to travel/work between Athlone and Mullingar as required by the weekly rota.
