Front Office Coordinator (With Spanish)

We are seeking an experienced spanish-speaking Front-office coordinator to join our team in SLO!

Key Responsibilities:

1. Intake Coordination

  • Support families with in-person form completion and ensure accurate documentation.
  • Serve as the main point of contact for new client onboarding and address initial inquiries.

2. Assessment Coordination

  • Set up computers and necessary materials for in-person assessments.
  • Book rooms and coordinate logistics for assessments.
  • Collaborate with families to ensure assessments run smoothly and on time.

3. Client Engagement

  • Lead office tours for prospective families, showcasing the facility and explaining available services.
  • Provide a warm, welcoming experience for clients and their families.

4. Coordination & Setup

  • Coordinate individual and group physical therapy (PT) session setups.
  • Work closely with therapists to ensure smooth session execution.

5. Team Support

  • Oversee and coordinate receptionist activities to ensure front office efficiency.
  • Provide scheduling support by identifying and addressing unmet needs in real-time.

6. Inventory Management

  • Maintain organized inventory for office and clinic supplies.
  • Regularly assess inventory levels and report reorder requirements to management.

7. Customer Service

  • Provide exceptional service to families and staff, addressing questions and concerns promptly and professionally.
  • Serve as a liaison between families and staff, ensuring open and effective communication.

Qualifications:

  • Strong organizational and multitasking skills with attention to detail.
  • Fluent in Spanish
  • Excellent communication and interpersonal abilities.
  • Prior experience in office coordination, reception, or customer service roles preferred.
  • Proficiency in using scheduling software and office tools (e.g., Google Workspace, Microsoft Office).
  • Ability to work in a fast-paced environment and adapt to changing priorities.

Job Type: Full-time

Pay: $25.00 - $35.00 per hour
