Job Description

A Front Office Executive in a hospital is responsible for managing patient queries, handling registration, coordinating appointments, and ensuring smooth front-desk operations. The role requires excellent communication skills, customer service, and the ability to work in a fast-paced healthcare environment.

Key Roles & Responsibilities1. Patient Reception & Registration

  • Welcome and guide patients and visitors politely.
  • Handle patient registration, OP/Consultation cards, and data entry.
  • Verify patient details and maintain accurate records.

2. Appointment & Scheduling

  • Manage doctor's appointment schedules.
  • Confirm, reschedule, and follow up on appointments.
  • Coordinate with various departments (Lab, Pharmacy, Radiology).

3. Billing & Cash Handling

  • Generate bills for OP consultations, procedures, and services.
  • Collect payments (cash, card, UPI) and issue receipts.
  • Maintain daily cash report and handover.

4. Enquiry Handling

  • Answer phone calls professionally.
  • Provide information on doctors, timings, and services.
  • Guide patients regarding insurance/TPA process if required.

5. Coordination

  • Communicate with Nursing, Lab, Radiology, and Pharmacy teams.
  • Update patient flow status to concerned departments.

6. Customer Service

  • Assist elderly patients/attendants with directions and support.
  • Handle patient complaints politely and escalate when needed.
  • Ensure waiting area cleanliness and comfort.

7. Documentation & Records

  • Maintain files, reports, and patient records.
  • Ensure confidentiality of patient information.
  • Update daily MIS reports.

8. Compliance

  • Follow hospital policies and safety procedures.
  • Maintain discipline, hygiene, and professional behavior at all times.

Skills Required

  • Good communication (English & local language)
  • Computer knowledge (MS Office, HIS Software)
  • Customer service mindset
  • Multitasking & time management
