Head Of Andover Foodbank

Responsible to: The Andover Foodbank Committee

Responsible for: Leadership of the Andover foodbank

People responsibility: Warehouse Manager and Volunteer Manager

Hours: Part-time: 25 hours per week

Overall job purpose

1. To manage the Andover foodbank ensuring its operational efficiency and effectiveness in providing emergency food for local people in need, who have insufficient financial resources and to signpost them to agencies who can help address any underlying issues that lead to this situation.

2. To work in partnership with the Committee to guide the development of the foodbank, including its material resources, financial assets, reputation, partnerships and Christian ethos.

3. To lead, manage, and motivate the staff and volunteers.

Key accountabilities

Leadership

· Lead and manage volunteers and the Warehouse Manager and Volunteer Manager, complying with the Diocese People policies including appraisals and the completion of personnel administration.

· Analyse and use data to inform and develop strategy.

· Provide regular updates to Secretary and report monthly to Committee

· Report to the Committee at quarterly meetings, providing data and information in advance.

· Comply with the Diocese Terms of Reference for the Andover foodbank.

· Contribute to Committee report to Diocese at meetings providing information in advance.

· Comply with the terms of the foodbank franchise, including standard operating procedures.

· Represent Andover foodbank at Trussell regional foodbanks cluster meetings and national conference or webinars.

Volunteer management

· Lead the Volunteer Manager to ensure:

o the foodbank has adequate numbers of trained volunteers and a rota providing volunteers for the warehouse, office and events.

o there is a recruitment process, role descriptions, and induction process, and appropriate training for volunteers.

· Comply with the Diocese People policies and GDPR.

Warehouse and stock management

· Lead the Warehouse Manager to ensure:

o adequate stock levels by arranging regular supermarket collections, buying stock and issuing appeals as necessary.

o Effective and efficient operation of the warehouse, accurate records and a stock take is completed annually with a target variance of 2.5%.

· Take joint responsibility for the buildings, contents and security of the warehouse.

· Comply with the Diocese Health and Safety policies and Environmental regulations.

Office and data management

· Ensure accurate and secure records of stock and vouchers.

· Be familiar with Trussell data system monitoring key data indicators.

· Be able to complete all administration tasks and train volunteers.

· Ensure that enquiries are dealt with efficiently and promptly.

· Oversee IT, telephone and email accounts.

· Liaise with the Warehouse Manager and office volunteers to order stationery and materials.

Finance and fundraising

· Produce an annual budget for warehouse stock and projects and monitor income and spending on budget.

· Comply with the Diocese Finance policies including the use a foodbank credit card and provide details of payments and receipts.

· Approve payments on foodbank bank account.

· Manage donations, donor stewardship, funding applications and campaigns.

· Develop and implement a fundraising strategy to ensure the foodbank is sustainable.

Relationship management and public relations

· Develop and maintain relationships with referral agencies to ensure that those in crisis receive support and that the services provided by the foodbank are developed or improved.

· Develop and maintain relationships with Diocese, Parish, churches of different denominations, schools, youth groups, businesses, donors, and the wider community to encourage support for the foodbank.

· Manage communications with the local community and stakeholders including issuing press releases, talks and presentations, newsletters and social media.

· Produce a biannual Newsletter for donors and a quarterly volunteer Newsletter.

Strategy and development

· Create and present strategy to help those in need to the Committee.

· Develop and manage projects agreed by the Committee including Fuel Bank and Citizens Advice.

· Monitor the performance of projects against agreed plans and ensure budgets are managed effectively and the aims of the project are met.

· Represent Andover foodbank in local partnerships e.g. Andover Vision or Food Partnership.

Ad hoc duties and projects

Person Specification

Competence, expertise & Knowledge e.g.

Essential

  • Ability to lead and manage a team including volunteers.
  • Ability to work independently and under pressure.
  • First class organisation skills and ability to prioritise work and balance conflicting priorities and meet set deadlines.
  • Advanced proficiency in use of Microsoft Office including Word, Excel and PowerPoint and Xero.
  • Excellent interpersonal skills and the confidence to deal with people at every level.
  • Ability to empathise with and passionate about supporting those in crisis
  • Ability to manage partnerships with multiple stakeholders.
  • Excellent communication skills both written and verbal.
  • Experience in finance and budgetary control.
  • Numerate and comfortable interpreting statistical data.
  • Willingness to engage in practical work, including lifting and carrying in line with manual handling procedures.
  • A sound understanding of, and experience of engagement with, churches and Christians of different denominations

Desirable:

  • Knowledge of the values and teaching of the Roman Catholic Church.
  • Experience of working or volunteering in an organisation that deploys volunteers

Job Types: Part-time, Permanent

Pay: From £26,000.00 per year
