Overview
The Head of Out of Hours & Emergency Service will be responsible for the efficient and effective leadership of the hospital’s out-of-hours services. You will be responsible for managing and leading the Emergency Vet Team, Night Nursing Team and supporting the interns when they are working within the out of hours service. Working closely and collaboratively with the Referrals Clinical Director and the Internship Director who will oversee the clinical responsibilities. This role will ensure the efficient delivery of outstanding patient care for all out of hours patients. You will work enthusiastically with the senior leadership team to help maintain a happy and efficient working environment, whilst ensuring practice and group policies are always adhered to. Working alongside the hospital’s business relationship manager, you will be the main point of contact for the out of hours user practices, assisting with any queries or complaints, ensuring the clinical care of the patients matches the practice’s commitment to excellence. Alongside the Business Relationship Manager you will manage the user practice contracts and work to bond the user practices with the practice.
This is a permanent part-time position of 24h per week.
Main purpose & goals
- Work with the Senior Leadership Team (SLT) to ensure strong clinical, operational and financial performance of the out of hours service, advising the SLT on the out of hours impact of practice wide decisions and discussions
- Line-manage both the Emergency Vets and Nurse Lead
- Facilitate the acceptance of urgent referrals by supporting the teams to ensure a smooth through put of cases.
- Work with the Internship director, the Referrals Clinical Director and the Head of Nursing to ensure the Emergency team are inducted and integrated in the hospital
- Lead on the development, implementation and evaluation of the practice’s out of hours strategy including, organisational design, CPD, career progression, succession planning, internal working partnerships, efficiency and effectiveness and operating models
- Ensure all of the OOH team have access to clear information and guidance about their roles and responsibilities
- Ensure that there is full understanding of the practice’s core values and the Mars 5 principles
- Develop and maintain effective and professional relationships with key stakeholders internally and across the wider Linnaeus group
- Ensure that practice policies, protocols and SOP’s are developed, shared and understood by the team
- Ensure that there is Out-of-Hours input into the development and implementation of improvements within the practice to support timely clinical and managerial decision making
- Oversee and ensure the quality of the patient care, client care and user practice interaction
- Ensure that the OOH team are organised and managed in line with the practice’s business strategy and objectives
- Working with the Referral Clinical Director, manage the recruitment and selection of emergency vets
- Ensure an appropriate, efficient and streamlined induction for all members of the team, as well as helping to identify areas of required training support
- Liaise with the SLT and Heads of Service to ensure effective lines of communication at all times
Key responsibilities
- Represent the Out of Hours team and play a central role in shaping an efficient and effective hospital environment through the promotion of excellent clinical standards and effective leadership of the emergency vet team and the intern team
- Ensure that clinical cases are dealt with efficiently
- Ensure that patient records are completed accurately and that all relevant patient records are communicated to the users practices in a timely fashion
- Ensure that all members of the emergency team understand their roles and job descriptions Provide the support and training necessary to achieve the standards required through the observation and measurement of performance
- Demonstrate an ability to motivate the emergency team and promote practice-wide ways of working
- Support the emergency team with regular performance reviews
- Promote the practice and group policies and guidelines that apply to all employees and effectively manage any performance issues
- Ensure efficient rota management to ensure adequate cover at all times, including holiday and CPD requests, public holidays and absence
- Oversee the reporting of clinical incidents as part of the patient safety initiatives
- Update, maintain and approve changes to Associate records on Workday, ensuring any changes that affect pay are acted upon swiftly and on time.
- Complete recruitment, starters and leavers process on Workday
- Maintain confidentiality of Associate details and ensure IT is locked down when Workday is not in use
- Action alerts coming out of Workday.
