job tasks and responsibilities include but are not limited to:
Agent Administration & Support
- Coordinate agent onboarding, transfers, reinstatements, and departures.
- Prepare and maintain agent agreements, onboarding documents, and brokerage records.
- Provide agents with guidance regarding RECO, TRREB, MLS, and brokerage requirements.
- Monitor agent licensing status and ensure timely completion of renewals and compliance requirements.
- Maintain accurate agent databases and records.
Compliance & Regulatory Support
- Assist in ensuring agent compliance with RECO, TRREB, MLS, and brokerage policies.
- Monitor and maintain records related to complaints, violations, disciplinary matters, and legal correspondence.
- Track license renewals and follow up with agents regarding expired or pending registrations.
- Support partner brokerages with compliance-related requirements and documentation.
Systems & Access Management
- Set up, update, and deactivate user accounts for RECO, TRREB, MLS, and internal brokerage systems.
- Manage access to brokerage platforms, including Lone Wolf, PowerApps, website portals, and printing systems.
- Provide administrative support for system access and user account management.
Brokerage Operations Support
- Maintain records related to staff and organizational changes.
- Prepare and maintain brokerage templates and documents, including letterheads, logos, Schedule B forms, and other operational materials.
- Assist brokerages with RECO and TRREB applications, registration, renewals, termination, changes, and information updates.
- Coordinate cheque mailing.
required education, skills, and qualifications:
- Previous experience in an administrative, HR, real estate brokerage, or compliance support role is preferred.
- Familiarity with Ontario real estate brokerage operations, RECO, TRREB, MLS, or agent registration processes is considered an asset.
- Strong attention to detail and accuracy in handling documents, records, and compliance information.
- Excellent organizational and time management skills, with the ability to manage multiple tasks and follow up on deadlines.
- Strong written and verbal communication skills.
- Proficient in Microsoft Office, including Word, Excel, and Outlook.
- High level of confidentiality and professionalism when handling sensitive agent, staff, and brokerage information.
Job Types: Full-time, Permanent
Pay: $18.09-$25.68 per hour
