Responsibilities:
Oversee and manage all general administrative and clerical support functions for the office, ensuring seamless operation.
Develop and maintain efficient filing systems, both electronic and physical, ensuring data integrity and compliance.
Manage office resources, including supplies, equipment, and vendor relationships, optimizing cost-efficiency and availability.
Coordinate and oversee complex scheduling for meetings, appointments, and business travel, including detailed itinerary management.
Manage basic bookkeeping tasks and oversee expense tracking and reporting.
Lead the full employee onboarding and offboarding process, including comprehensive paperwork, system setup, and logistical coordination.
Maintain comprehensive employee records with a focus on accuracy, confidentiality, and compliance with HR regulations.
Manage core HR administrative tasks, including holiday tracking, absence management, and assisting with payroll data preparation.
Coordinate and manage all internal communications and office events, fostering a positive and cohesive work environment.
Ensure the office environment is consistently well-maintained, presentable, and compliant with health and safety standards.
Provide guidance and support to other administrative staff members (if applicable), delegating tasks and ensuring quality of work.
Assist HR management with various projects and initiatives as required.

Essential Requirements:
Proven experience (minimum of 2 years) in a senior office administrative, HR admin, or supervisory role.
Mandatory: Prior work experience within a dental practice or healthcare setting is essential.
Exceptional verbal and written communication skills, with the ability to interact professionally and empathetically with all levels of staff, patients, and external partners.
Strong leadership and execution skills, with a demonstrated ability to oversee tasks, manage projects, and ensure high standards of efficiency and accuracy.
Expert proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or equivalent office management software.
Comprehensive understanding and hands-on experience with HR administrative tasks, employee record-keeping, and basic HR policies.
Superior organizational and time-management skills, with a meticulous attention to detail and the ability to effectively prioritize and manage multiple deadlines.
Demonstrated ability to work independently, take initiative, and lead effectively within a team environment.
A highly professional, proactive, and positive attitude, with a commitment to maintaining confidentiality.
Familiarity with Irish employment regulations and HR best practices.
A relevant qualification in Office Administration, HR, or Business Management.
Annual salary 45K.
