Job Title: IMS Co-ordinator Manager

Job Summary:

  • The successful candidate will be responsible for the co-ordination of the IMS (Integrated Management System) and report to the Group Head of SHEQ & Compliance.
  • You will support the SHEQ & Compliance Manager with review, monitoring, testing, and improvement of existing processes including the Document Management System (DMS), Contractor Control Process, accreditation management and associated items across the Group.

Key Tasks and Responsibilities:

  • Review, monitor, test, and improve existing processes including the Document Management System (DMS), Contractor Control Process, accreditation management and associated items.
  • Support the development and implementation of:
  • Compliance control procedures, guidelines, and checklists to streamline and improve processes.
  • Innovative workflow processes to lead to increased efficiencies with regards to costs and turnaround time.
  • Maintain and manage relevant registers (Legal, DMS, Accreditation) for the Group.
  • Control new (with assistance from relevant departments) or updated documentation (Procedures, Forms, Flowcharts, Work Instructions, Policies) to all employees/sub-contractors as appropriate.
  • Maintain documentation/records both on soft copy (Company server) and hard copy where applicable.
  • Support the planning and execution of internal audits.
  • Maintain Non-Conformance Reports/Site Deficiency Reports Register, and closure of all issues raised.
  • Generate & distribute Weekly Reports
  • Control & Manage Approval Process for Suppliers & Contractors
  • Support the maintenance & management the Approved Suppliers/Contractors register and associated documentation.
  • Maintain all Records for Fire / Environmental Safety Checks & Evacuation Records
  • Provide mentoring, coaching, counselling, and training to employees regarding quality.
  • Initiate and drive continuous improvement.
  • Liaise with external vendors, contractors, and suppliers to ensure that their products or services meet the organization's quality standards.

Skills and experience required:

  • Strategy Profile: The successful candidate should be a qualified internal auditors, having gained a qualification from a recognised institute. Strong PC skills, particularly MS office suite.
  • Culture Builder: A passion for quality and continuous improvement with a focus on practical delivery. Excellent communication skills and a skilled collaborator.   • Internal Auditor experience.
  • Ability to support the navigation and maintenance of ISO accreditations (e.g. 9001, 14001, 45001) and adhere to all current legislation.
  • Ability to manage policies and procedures on multiple simultaneous projects.
