Overview
Reporting to the Compliance Programme Manager and working closely with the relevant Information Governance Senior Specialists, the Information Governance Analyst will provide specialist operational support for Statutory Information Requests, particularly Freedom of Information (FOI) and Access to Information on the Environment (AIE) requests. The role will involve assessing, coordinating and monitoring requests from receipt to closure, with oversight of statutory timeframes, search scope, records collation, consultation requirements, correspondence, case documentation and escalation points.
Outside this primary focus, the role will also provide exposure to broader information governance activities, including data privacy, records management and information lifecycle management. Working alongside the Information Governance Senior Specialists and designated Data Protection Officer, the role will support defined privacy-related activities, contribute to governance initiatives and develop practical experience across a range of information governance disciplines.

Key Responsibilities

Statutory Information Requests Casework
  • Coordinate specialist FOI and AIE casework, ensuring requests are assessed, recorded and progressed in line with statutory requirements and escalation protocols.
  • Maintain case records, correspondence logs, trackers, schedules and evidence folders to support assurance, review and decision-making.
  • Analyse request scope, coordinate records searches, assess response completeness and escalate delays or quality issues.
  • Prepare case materials for review, including issue analysis, draft correspondence, consultation materials and supporting evidence.
  • Monitor statutory deadlines, consultations, reviews, appeals and publication obligations, escalating compliance risks promptly.
Statutory Information Request Processes, Records and Monitoring
  • Review and enhance FOI, AIE and statutory request procedures, templates, guidance and trackers.
  • Analyse request trends, recurring issues and process gaps to support assurance and continuous improvement.
  • Maintain information governance trackers, registers, templates, schedules and evidence folders, ensuring information is accurate, current and aligned with agreed processes.
  • Support records management administration by maintaining records inventories, retention schedules, disposal records and related governance documentation relevant to statutory request handling and information governance monitoring.
  • Provide administrative support for audits, compliance reviews and regulatory readiness activity, including meeting coordination, evidence collation, action tracking and records management.
Stakeholder Engagement and Business Area Liaison
  • Act as a technical liaison for directorates, advising on search scope, evidence expectations, timelines and escalation routes.
  • Engage with the Senior Specialists, business areas and decision-makers to support timely, well-evidenced request handling.
  • Coordinate engagement with IT, Security and other business areas by arranging meetings, maintaining action logs and tracking follow-up items relating to information security, records search readiness and information governance activities.
Reporting, Insight and Continuous Improvement
  • Produce management information on request volumes, timeliness, escalations, themes and improvement actions.
  • Develop evidence-based improvements to statutory request workflows, records management and business guidance.
  • Gather and organise information on legislative developments, guidance updates and good practice in FOI, AIE, information governance, records management and responsible data use, where requested by the Senior Specialists.
  • Provide operational administration for information governance and responsible data governance activities, including maintaining trackers, meeting actions, records and supporting evidence, as directed by the Senior Specialists.
  • Assist with information lifecycle management administration, including updates to records relating to data ownership, classification, retention and disposal, ensuring records are accurate and available for Senior Specialist review.
Data Privacy Support
  • Support the coordination and administration of defined data privacy activities, working with the Information Governance & Privacy Senior Specialist / Data Protection Officer.
  • Maintain privacy records, registers, action trackers and supporting evidence.
  • Assist with data subject rights requests, privacy reviews, assessments, reporting and related governance activities.
  • Support privacy monitoring, awareness initiatives and continuous improvement activities, escalating issues where appropriate.

Knowledge, Skills and Experience
  • Experience in FOI, AIE, statutory information access, regulatory casework, records management, legal, compliance or information governance.
  • Relevant qualification in law, information governance, records management, compliance, public administration, business or a related discipline is desirable.
  • Strong working knowledge of FOI, AIE, records search coordination, confidentiality and statutory deadline management.
  • Strong analytical judgement, attention to detail and evidence management capability.
  • Strong communication skills, including the ability to assess responses and escalate issues professionally.
  • Strong Microsoft 365 capability, including SharePoint, Excel, Word, Outlook and Teams.
  • Ability to prioritise deadlines, evaluate compliance risk and handle confidential information with discretion.
