Job Title: Security Systems Estimator
Reports To: Director of Sales and Business Development
Works closely with: Leadership team, Account Managers, Project Team and Finance Team.

Position Overview
This role supports SMS Security’s sales and client services team by preparing, reviewing, and auditing quotes for security system projects.
The position combines technical details with client-facing needs through our sales team while ensuring proposals are accurate, competitive, and aligned with our standards for quality and compliance.
Key Responsibilities
Quote Preparation & Estimating
- Draft, review, and refine quotes for security system installations, upgrades, and maintenance agreements (e.g., CCTV, access control, telephone entry, alarms, intercoms, barrier gates, IT, etc.).
- Research product options and alternative solutions.
- Verify that all proposals include required components (e.g., power supplies, cabling, UPS, mounting hardware).
- Standardize pricing templates and ensure consistent application across all quotes.
- Research product substitution options when specified equipment is discontinued or backordered.
- Assist in maintaining and updating SMS Security’s price book by incorporating insights from vendor communications, product research, and quoting experience to ensure pricing and product details remain accurate and competitive.
Auditing & Quality Control
- Audit existing quotes for accuracy in pricing, scope, and technical specifications before submission to clients.
- Ensure consistency with SMS Security’s approved templates, terms, and pricing models.
- Confirm that all proposed products meet compliance standards required by the client (TSSA, NDAA, AODA, etc.).
Documentation & Systems
- Assist in preparing supporting documentation such as site maps, system diagrams, and equipment lists for proposals.
- Coordinate with suppliers and manufacturers to obtain up-to-date pricing and availability, updating ServiceTitan as required.
- Maintain a current database of approved products, models, and lifecycle information (end-of-life notices, firmware updates, and warranty periods).
- Create and maintain a library of cut sheets, spec sheets, and manuals for commonly used products.
- Maintain and update SMS Security’s customer database using internal software tools (e.g., Service Titan, Monday CRM) to ensure records are accurate, current, and consistent.
- Document and log key details from customer and prospect interactions (e.g., quote requests, change orders, product inquiries) to support follow-up, pipeline management, and reporting.
Support & Training
- Provide technical support during client presentations or board meetings as needed.
- Assist with training newer staff on quoting tools, templates, and compliance requirements.
- Monitor new products and emerging technologies from key vendors, preparing summaries or recommendations for the leadership team.
- Coordinate product samples or demos for internal evaluation or client presentations.
Planning & Execution
- Communicate project requirements clearly to operations/project management.
- Transfer all customer notes, expectations, and special requests, and schedule kick-off calls or coordinate with field/implementation teams.
- Identify upsell/cross-sell opportunities for additional products or services during execution.
- Support the procurement team on registering project pricing and clarify model/brand details as per requirements.
Other Duties
Perform additional tasks as needed.
Qualifications:
- 3+ years of experience in inside sales, estimating, or quoting, ideally within security systems, low-voltage systems, or related technical industries.
- Related experience (fire alarm technician, low-voltage/electrical work, telecom installer, or similar technical background)
- Strong attention to detail with the ability to audit technical documents for accuracy.
- Proficiency with Google Workspace (Docs, Sheets, Gmail, and Drive); familiarity with quoting tools/software is an asset.
- Experience installing or estimating security systems (access control, cameras, telephone entry, intercoms, intrusion alarm systems, etc.).
- Excellent written and verbal communication skills for both internal coordination and client-facing documentation.
- Ability to work independently while collaborating with multiple departments.
