THE CHALLENGE

The Integrated Management System (IMS) Coordinator plays a critical role in supporting the administration, implementation, maintenance, and continual improvement of TURBINE-X’s Integrated Management System across Quality, Health, Safety, and Environmental requirements. Supporting operations across Canada and the United States, this position helps ensure QHSE processes, documents, records, risks, audits, compliance obligations, corrective actions, and performance metrics are accurate, consistent, traceable, and aligned with business needs.

Working closely with Quality, HSE, Engineering, Operations, Manufacturing, Supply Chain, Project Management, HR, IT, and company leadership, you’ll help integrate the requirements of ISO 9001, ISO 14001, and ISO 45001 into practical, standardized systems and workflows. You’ll also support the administration of QHSE platforms, customer compliance portals, controlled documentation, audit programs, training records, and performance reporting. WHAT YOU'LL DO

Integrated Management System Coordination

  • Coordinate and support the Integrated Management System across Quality, Environmental, Health, and Safety processes.
  • Align IMS processes, procedures, records, and workflows with ISO 9001, ISO 14001, ISO 45001, and High-Level Structure requirements.
  • Work with process owners to standardize procedures, business process flows, turtle diagrams, roles, responsibilities, and supporting documentation.
  • Integrate organizational risks, opportunities, environmental aspects, impacts, workplace hazards, and operational controls into the IMS.
  • Support Management of Change activities and ensure affected records, procedures, workflows, and system requirements are updated.
  • Promote practical system use, continual improvement, and a strong QHSE culture across departments.

QHSE Platform Administration

  • Administer integrated QHSE platforms such as Intelex, Enablon, Ideagen, or equivalent systems.
  • Maintain modules for document control, audits, incidents, risks, corrective actions, training, compliance, and performance reporting.
  • Manage system users, permissions, workflows, master data, dashboards, forms, and reports.
  • Coordinate with IT teams and software vendors to resolve support issues, implement enhancements, and improve system integrations.
  • Support system configuration, testing, implementation, migration, and adoption activities when new modules or platforms are introduced.
  • Maintain data quality, naming conventions, metadata standards, version control, and consistent system records.

Document Control & Records Management

  • Support controlled document creation, review, approval, revision, distribution, and retention processes.
  • Maintain controlled procedures, policies, forms, templates, work instructions, and supporting records.
  • Ensure current document revisions are available to employees and obsolete documents are removed from points of use.
  • Support approval routing, document access, retention requirements, and record traceability.
  • Develop system guides, work instructions, training materials, and quick-reference resources.
  • Help ensure QHSE records are complete, accurate, accessible, protected, and retained according to company and regulatory requirements.

Audit, Corrective Action & Management Review Support

  • Coordinate internal, external, customer, and certification audits across Quality, Health, Safety, and Environmental programs.
  • Maintain audit schedules, prepare supporting evidence, coordinate process-owner participation, and track findings to closure.
  • Support root cause analysis, corrective and preventive action development, implementation tracking, verification, and effectiveness reviews.
  • Trend nonconformances, incidents, customer complaints, audit findings, corrective actions, and recurring issues.
  • Prepare Management Review inputs, including objectives, KPIs, audit results, risks, compliance status, trends, and improvement actions.
  • Track assigned actions, due dates, overdue items, and closure evidence while escalating risks when required.

Compliance & Customer Prequalification

  • Maintain legal and other requirements registers for applicable Canadian and U.S. operations.
  • Track regulatory obligations, customer requirements, certificates, inspections, audits, renewals, and compliance deadlines.
  • Maintain company profiles, documents, metrics, and prequalification records within ISNetworld, Avetta, Veriforce, and similar customer compliance platforms.
  • Coordinate updates to insurance records, safety statistics, policies, training documents, certifications, and supporting compliance information.
  • Prepare records and evidence for customer audits, regulatory inspections, certification activities, and contractor prequalification reviews.
  • Work with internal stakeholders to resolve compliance gaps and maintain customer account eligibility.

Training, Communication & User Support

  • Maintain training and competency records, role-based requirements, assignments, and completion status.
  • Train employees on IMS tools, forms, workflows, dashboards, reports, document control, and system requirements.
  • Provide ongoing support to users and help resolve system, documentation, workflow, and reporting questions.
  • Support QHSE communications, awareness campaigns, system updates, and platform adoption across departments.
  • Work with HR, Quality, HSE, and department leaders to maintain accurate training matrices and competency records.
  • Encourage employee engagement and consistent use of IMS processes and systems.

Reporting & Continuous Improvement

  • Develop and maintain IMS dashboards, reports, KPIs, objectives, and performance measures.
  • Analyze data related to incidents, audits, CAPAs, complaints, training, compliance, risks, and system performance.
  • Identify trends, recurring issues, reporting gaps, and opportunities to improve QHSE processes.
  • Support Lean and continuous improvement initiatives that simplify workflows, improve system usability, and strengthen compliance.
  • Recommend improvements to forms, processes, reporting tools, dashboards, system configuration, and user guidance.
  • Help ensure IMS processes remain practical, scalable, and aligned with company growth.

WHAT YOU'LL BRING

Experience: 

  • Bachelor’s degree in Quality, Health and Safety, Environmental Management, Business Administration, Engineering, Information Systems, or a related field.
  • Three or more years of experience in IMS or QHSE systems administration, Quality Management System coordination, HSE coordination, compliance management, or a related role.
  • Working knowledge of ISO 9001, ISO 14001, ISO 45001, and the ISO High-Level Structure.
  • Experience administering QHSE platforms such as Intelex, Enablon, Ideagen, or similar systems.
  • Working knowledge of ISNetworld, Avetta, Veriforce, or equivalent customer and contractor compliance platforms.
  • Experience supporting document control, records management, workflows, audits, corrective actions, risk registers, compliance registers, and Management Review.
  • Strong computer skills, including Microsoft 365, Excel, SharePoint, Power BI, and related business systems.
  • Strong attention to detail with the ability to maintain accurate records, structured data, and consistent system standards.
  • Strong communication, organization, follow-up, training, and problem-solving skills.
  • Ability to work effectively with Quality, HSE, Engineering, Operations, Manufacturing, IT, and leadership teams.

Preferred Qualifications: 

  • ISO 9001, ISO 14001, or ISO 45001 Internal Auditor or Lead Auditor certification.
  • Working knowledge of ISO 27001, ISO 22301, ISO 31000, or other management system standards.
  • Experience implementing, configuring, migrating, or improving QHSE software platforms, modules, dashboards, and workflows.
  • Working knowledge of Lean Six Sigma and continuous improvement tools such as Kaizen, Value Stream Mapping, 5S, and the seven areas of waste.
  • Experience within power generation, modular equipment, heavy industrial manufacturing, engineered-to-order production, or a related environment.
  • Familiarity with ESG reporting, contractor management, training matrices, regulatory compliance, and legal requirements registers.
  • Experience supporting multi-site or cross-border operations within Canada and the United States.

PHYSICAL & SAFETY REQUIREMENTS

  • Follow all X-Group Health, Safety & Environmental policies, procedures, and training requirements.
  • Ability to visit manufacturing facilities, production areas, and operational sites while wearing required personal protective equipment.
  • Ability to work safely within office, manufacturing, and industrial environments.
  • Ability to travel periodically between company locations or attend audits, training sessions, and operational meetings as required.
