Position Summary & Responsibilities: Legal Assistant
The Kansas Department of Labor, Workers Compensation, is actively recruiting a Legal Assistant. This position presents an opportunity for someone who is interested in gaining practical experience within a professional legal environment that supports mediation and administrative dispute resolution. The role provides direct exposure to legal processes, case management systems, and collaboration with attorneys and agency leadership.
Key Responsibilities
- Assist the Ombudsman Supervisor with coordinating mediation conferences by contacting parties via phone or email to schedule sessions.
- Prepare and distribute mediation conference notices, obtain participant signatures, upload documentation to case records, and disseminate mediation conference reports.
- Create and manage calendar events and video conference links for mediation sessions.
- Enter mediation activity and case information into internal tracking systems and the Division’s OSCAR case management system.
- Assist with compiling aggregate mediation data used for internal and external reporting.
- Support the Assistant Director by scheduling medical fee dispute hearings and preparing notices for informal and formal hearings, while documenting case activities in OSCAR.
- Assist Staff Attorneys with locating and requesting physical self-insurance files from Records Management for case preparation and review.
Professional Experience
This position provides hands-on exposure to mediation coordination, hearing preparation, legal documentation, and case management systems while working closely with attorneys and legal leadership. The role offers valuable experience for individuals pursuing long-term careers in the legal profession.
Minimum Qualifications
- High school diploma or equivalent.
- A minimum of one year of experience, or equivalent training, in the use of office computers and software such as the Microsoft Office Suite, internet browsers, or comparable applications. Proficiency in computer keyboarding is required.
- Ability to coordinate with multiple individuals to schedule appointments using MS Outlook and video conferencing applications such as Zoom or MS Teams. Demonstrated ability to communicate professionally and effectively, both orally and in writing, using business-standard English.
Preferred Qualifications
- One year of experience as a legal assistant.
- Strong organizational and communication skills.
- Professional interest in mediation, dispute resolution, administrative law, or litigation support.
