Job Summary
We are seeking an experienced, detail-oriented and proactive Legal Assistant and Office Manager to join our dynamic legal team. The ideal candidate will support various legal tasks, ensuring efficient office operations and contributing to the overall success of our practice. This role requires strong administrative skills, attention to detail, and the ability to manage multiple tasks effectively.

Legal Support:

  • Assist solicitors in the preparation, formatting, and proofreading of legal documents for real estate and corporate transactions.
  • Conduct title, corporate, and other legal searches to support transaction due diligence.
  • Maintain and update case files, ensuring accurate filing and accessibility of all legal documents.
  • Draft and organize closing reports for real estate and corporate transactions.
  • Assist with real estate and corporate closings, including circulating documents to clients and coordinating fulfillment of financial conditions for funding.
  • Update and maintain corporate minute books as required.
  • Complete client intake procedures, including preparation of retainer agreements, ID verification, and collection of initial retainer fees.

Office Management:

  • Manage daily office communications, including answering calls, responding to emails, and acting as a liaison between clients, solicitors, and third parties.
  • Schedule and coordinate appointments, meetings, telephone conferences, and deadlines for solicitors.
  • Ensure the solicitor is informed of the status of each matter by continuously updating transaction checklists.
  • Track Continuing Professional Development (CPD) hours for solicitors and register them for relevant courses.
  • Ensure compliance with firm policies, confidentiality protocols, and legal regulations.

Administrative Duties:

  • Accurately document all transaction-related expenses in the firm's practice management system (Clio).
  • Assist with client invoicing and payment processing.
  • Support the smooth day-to-day operations of the office, addressing administrative needs and maintaining an organized work environment.

Experience

  • Minimum 2-3 years experience in a corporate/commercial law firm.
  • Proven experience in an administrative role within a legal setting is preferred.
  • Strong clerical skills with proficiency in office software applications (e.g., Microsoft Office Suite).
  • Familiarity with Clio Management Software is an asset
  • Excellent organizational skills with the ability to prioritize tasks effectively.
  • Strong written and verbal communication skills are essential for client interaction and document preparation.
  • Candidates should enjoy taking the initiative, be eager to learn and contribute positively to the team environment.

Pay: $40,000.00-$70,000.00 per year
