Overview

We are seeking a motivated, organized, and professional Legal Receptionist & Office Manager to support the daily operations of our law office and manage the office flows from the reception. We need someone pro active to be the heart and soul of the office and willing to help take Coyne Solicitors to the next level of client care.

This role combines front‑desk responsibilities with administrative and office‑management duties, requiring a proactive individual who can multitask, communicate clearly, and maintain a high level of professionalism when interacting with clients,lawyers, and staff.

Key Responsibilities

Reception & Client Interaction

  • Greet clients and visitors, ensuring a professional and welcoming experience
  • Answer and route incoming calls promptly
  • Manage appointment scheduling and maintain legal calendars
  • Handle client intake and assist with initial document collection
  • Maintain confidentiality and follow firm protocols at all times
  • Handle legal and compliance work flows
  • Manage main office emails
  • Assistance with file management
  • Ad hoc ancillary duties for modern legal office

Administrative & Office Management

  • Oversee daily office operations and ensure a clean, organized workspace
  • Manage office supplies and coordinate with vendors
  • Prepare, format, and proofread legal documents and correspondence
  • Process incoming/outgoing mail, filings, and deliveries
  • Assist lawyers with administrative tasks, including document scanning, copying, and case file organization
  • Track deadlines and help maintain case management systems
  • Support billing processes by preparing invoices and maintaining accurate records
  • Assistance with accounts when required and file closings.

Required Skills & Qualifications

  • Previous experience in a law office or professional office environment preferred
  • Strong communication and interpersonal skills
  • Excellent organization and multitasking abilities
  • Proficiency with standard office software (e.g., Microsoft Office, case management systems)
  • Ability to remain calm under pressure and handle sensitive information
  • Strong attention to detail and dependable work ethic
