Logistic Administrator

Job based in Monaco at Fontvieille.

JOB SUMMARY:

  • This role focuses on ensuring the seamless documentation and management of client orders, encompassing the entire process from purchasing and factory coordination to invoicing and shipping of finished goods. The position requires precise attention to detail, effective communication, and the ability to handle multiple priorities in a dynamic international environment.

K_EY RESPONSIBILITIES_

  • Prepare and process sales orders, ensuring timely placement with suppliers.
  • Maintain open communication with customers regarding deliverables.
  • Update and manage order tracking systems, Including ERP and follow-up trackers.
  • Generate customer invoices and prepare essential shipping documents, such as packing lists and commercial invoices.
  • Compare and negotiate transport costs with logistics providers to ensure cost-effective solutions.
  • Verify shipment accuracy, resolve issues like lost/damaged goods, and manage customs requirements.
  • Handle sample requests from preparation to shipment, including packing and customer notifications.
  • Record stock movements across production, processing partners, and customer destinations.

Additional Tasks

  • Manage office supply procurement and ensure up-to-date customer contact information.
  • Foster customer retention and operational excellence through solid service and communication.
  • Assist with miscellaneous tasks supporting company growth and operational efficiency.

REQUIRED ABILITIES, SKILLS & EXPERIENCE
Essential Skills

  • Fluent in English (additional languages are an advantage).
  • At least two years of experience in a purchasing or administrative role.
  • Strong organisational and multitasking abilities with a detail-oriented approach.
  • Proficiency in Google or Microsoft Office Suite and IT systems.
  • Strong interpersonal and communication skills.
  • Meticulous attention to detail.
