Maintenance Coordinator
Responsibilities
The Maintenance Coordinator will play a pivotal role in ensuring the seamless operation of the maintenance team and processes. Flexibility is key, as additional duties beyond those listed may be required. Key responsibilities include:
Core Responsibilities
Workflow & Documentation Management:
- Coordinate and document Planned Maintenance (PM) activities and Work Orders (WOs).
- Use SAP S/4 HANA to manage maintenance schedules, ensuring timely task completion.
- Develop and maintain a comprehensive database for PM activities, calibration schedules, and spare parts inventory.
- Organize the physical stores and conduct regular inventory counts.
- Monitor workflow across the Maintenance Team and ensure smooth operations.
- Classify and compile WOs by type, such as equipment repairs, production support, process improvements, root cause analysis, building maintenance, electrical work, and more.
Maintenance Oversight:
- Level PMs and calibration tasks evenly across technicians.
- Report on closure rates and escalate overdue tasks as needed.
- Collaborate with Production Planners and Supervisors to schedule maintenance work efficiently.
- Distinguish between reactive and proactive maintenance needs and prioritize accordingly.
- Assist in measuring maintenance performance and identifying improvement areas.
- Support the Engineering Director and Maintenance Lead in analyzing breakdown causes and implementing corrective actions to prevent recurrence.
- Investigate and document procedural and operational deviations to support compliance efforts.
- Arrange repairs, including equipment overhauls, part replacements, and fabrication of new components.
- Coordinate and supervise external vendor maintenance activities to ensure standards are met.
- Support adherence to regulatory requirements and internal equipment maintenance procedures.
- Maintain a safe work environment by enforcing safety systems like Lockout-Tagout (LOTO), permit-to-work systems, and conducting risk assessments.
- Liaise with suppliers to ensure proper stocking of spare parts and materials.
- Periodically review inventory to avoid shortages and optimize stock levels.
- Maintain accurate and up-to-date documentation for all maintenance activities.
- Ensure compliance with company policies and reporting procedures.
- Perform analyses and special projects as assigned.
- Assist in maintaining operational efficiency across maintenance functions.
Skills & Qualifications
- Experience:
- 3–5 years of experience as a Maintenance Planner or Coordinator.
- Proficiency in SAP S/4 HANA is essential.
- Completion of a mechanical, electrical, or instrumentation apprenticeship or an equivalent diploma (NCEA) in Engineering is preferred.
- Strong background in maintenance, with mechanical, electrical, or instrumentation skills.
- Familiarity with engineering/process instrumentation and plant utility systems.
- High attention to detail, with an organized and methodical approach to workload management.
- Ability to work independently and as part of a collaborative team.
- Strong communication skills and problem-solving ability.
- Knowledge of non-manufacturing processes and utilities.
- Commitment to maintaining safety, quality, and compliance standards.
This role is integral to ensuring the reliability, safety, and efficiency of plant operations. The Maintenance Coordinator will be a cornerstone in driving operational excellence and ensuring the maintenance team delivers consistently high standards.
