Maintenance Department Dispatcher / Customer Service Representative

Large Residential Garden Co-op Community seeking a full-time Maintenance Services Advisor (Customer Service/Admin) in a fast-paced environment. The Advisor will report to the Property Manager.

About the Role:

The Maintenance Services Advisor provides pleasant, courteous, and efficient customer service to Shareholders and Residents. This role requires excellent organizational, communication, time management, and follow-up skills. The Advisor must be able to differentiate between urgent and routine requests, remaining calm and professional during high-stress or emotional conversations without taking situations personally.

· Generate, follow-up, and finalize in-house service orders.

· Schedule maintenance department appointments with residents.

· Calmly handle a large volume of emergency and non-emergency phone calls.

· Utilize radio equipment and GPS to maintain contact and efficiency with Field personnel.

· Assist walk-ins including residents and contractors.

· Maintain daily ticket assignments spreadsheets with pertinent information.

· Identify building issues causing problems.

· Submit and follow-up on requisitions and Purchase Orders.

· Prepare repair letters, House Rule violation letters, building memos, and other correspondence.

· Handle various Shareholder and Resident complaints and requests.

· Other duties as assigned by Senior Management.

· Special projects when assigned.

What We Offer:
Work schedule is Monday to Friday in our office in Queens, NY. Must be open to a possible Tuesday to Saturday schedule in the future depending on the needs of the Department.

Compensation commensurate with experience. Benefits package includes two (2) weeks vacation time that is accrued throughout the year, two (2) personal days, five (5) sick days, ten (10) company paid holidays, Health Benefits including Dental and Vision, 401K Program with employer contributions, Annual Performance Review and a performance based year-end bonus.

About You:

· Able to multi-task in a team environment and assimilate into the Department that requires a lot of follow-up and multi-tasking.

· Comfortable with heavy call volume and multi-line phone system.

· Quickly comprehend instructions.

· Proficient in Microsoft Office including Word, Excel, and Outlook.

· 5+ Years of Forward Facing Customer Service and/or Dispatching experience.

· 2+ Years of in-office work experience.

· Must be comfortable speaking clearly and firmly on radio equipment.

· Excellent written and verbal correspondence is mandatory.

· Property Management experience is a plus!

Job Type: Full-time

Pay: $50,000.00 - $63,000.00 per year
