Job Overview
We are on the lookout for an organized and people centered office administrator to join our Design team on a 6 month maternity cover contract, with possibility of extension. If you have a natural ability to create a welcoming and supportive environment, we want to hear from you. This role will be based full-time and on-site at our headquarters in Dublin, Ireland.
About the Role:
The Office Administrator plays a key role in ensuring the smooth day-to-day operation of the office. This role provides administrative, organizational, and operational support to the team, helping to maintain efficient processes, a well-run workplace, and a positive experience for staff and visitors.
Key Responsibilities:
- Manage general office administration, including record-keeping, shipping and logistics and ordering materials
- Welcome visitors and prepare the studio and meeting rooms for client visits, including arranging teas/coffees and ordering catering
- Upkeep and maintain cleanliness of the studio, including managing internal team rotas
- Answer and direct phone calls, emails, and other correspondence
- Arrange Travel and accommodation bookings as necessary
- Manage employee and contractor time sheets
- Prepare reports, presentations, and internal communications as required
- Order and manage office and kitchen supplies and liaise with external suppliers, contractors and cleaners
- Support onboarding of new employees
- Maintain office systems, databases, and contact lists
- Assist with basic finance administration such as invoice processing and expense tracking
- Ensure the office environment is organized, safe, and welcoming
- Provide ad hoc administrative support to managers and teams as needed
Experience and Qualifications
- Proven experience in an administrative, office support or hospitality role
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- High attention to detail and accuracy
- Ability to prioritize tasks and work independently
- Confident using Microsoft Office (Outlook, Word, Excel, Teams) or similar tools
- Professional, friendly, and service-oriented approach
- Familiarity with basic finance administration (Desirable but not essential)
