Position Title: Medical Front Office Specialist – Scheduling Coordinator / Executive Assistant to Office Manager
Compensation: Salary commensurate with experience
Position Overview:
Our practice is seeking an experienced and highly organized Medical Front Office Specialist to support daily operations and assist the Office Manager. This role is essential in ensuring efficient scheduling, accurate insurance verification, and exceptional service to patients, referring physicians, and healthcare partners throughout the DFW Metroplex and surrounding areas.
Schedule:
Full-time, Monday through Friday, 8:00 AM – 5:00 PM (40 hours per week; no overtime required)
Job Summary:
Under the direction of the Office Manager, this position is responsible for coordinating patient scheduling, verifying insurance coverage, managing referrals, and providing professional front-office support. The role requires strong attention to detail, excellent communication skills, and the ability to manage multiple tasks in a fast-paced healthcare environment.
Key Responsibilities:
Scheduling & Insurance (85%)
- Manage incoming referrals, including PCP referrals via fax and electronic systems
- Verify patient insurance eligibility and obtain pre-authorizations as required
- Schedule patient appointments and accurately enter orders into the system
- Maintain and update a database of referring physicians and referral sources
- Ensure accuracy and completeness of patient records within the EMR system
- Maintain and monitor pending scheduling lists to ensure timely follow-up
- Handle inbound calls professionally, directing them appropriately
- Coordinate and process workers’ compensation referrals and authorizations
- Build and maintain relationships with referral sources
Patient Registration (5%)
- Greet and check in patients in a professional and welcoming manner
- Collect and verify demographic and insurance information; process copayments
- Maintain a clean, organized, and professional front office environment
- Conduct appointment confirmation calls and provide patient instructions
Administrative Support (10%)
- Assist the Office Manager with daily operational tasks and special projects
- Perform additional duties as assigned to support office efficiency
Core Competencies:
- Strong understanding of healthcare administrative processes and compliance standards, including HIPAA
- Proficiency in basic computer applications and EMR systems
- Excellent organizational and time management skills with attention to detail
- Effective written and verbal communication abilities
- Ability to multitask and prioritize in a fast-paced environment
- Demonstrated ability to work independently and collaboratively
- Professional demeanor with a commitment to high-quality customer service

- Reliable attendance and punctuality
Qualifications:
Required:
- High school diploma or equivalent
- Minimum of 2–3 years of healthcare customer service or front office experience
- Experience with insurance verification platforms (e.g., Availity, Acuity, NaviNet)
- Working knowledge of Microsoft Office applications
- EMR system experience
- Experience with workers’ compensation cases
- Strong computer and typing proficiency
- Stable employment history
- Excellent interpersonal and communication skills
Compensation & Benefits:
