Overview
We are seeking a highly organized and experienced Medical /Multidisciplinary Office Manager to oversee the daily operations of our healthcare facility. The ideal candidate will possess strong leadership skills, excellent communication abilities, and a comprehensive understanding of medical office procedures. This role is essential in ensuring smooth administrative workflows, maintaining compliance, and providing exceptional support to both staff and patients. Prior experience in office management within a medical setting is highly preferred.
Duties
- Supervise and coordinate the activities of front desk staff, administrative assistants, and other team members
- Manage scheduling, patient check-in/check-out processes, and appointment coordination
- Maintain organized filing systems for patient records, vendor documents, and administrative files
- Supervise office operations to ensure compliance with healthcare regulations and privacy standards
- Utilize multi-line phone systems to handle patient inquiries professionally with excellent phone etiquette
- Develop and implement office policies to improve efficiency and service quality
Qualifications
- Strong proficiency with QuickBooks, office software, and multi-line phone systems
- Extensive office experience including clerical, administrative, and bookkeeping tasks
- Excellent communication skills—both verbal and written—along with professional phone etiquette
- Demonstrated organizational skills with the ability to manage multiple priorities effectively
- Knowledge of healthcare regulations, privacy standards (such as HIPAA), and billing procedures
- Strong attention to detail with excellent filing and recordkeeping skills
