Summary of Role

The main objective of the Nursing Administrator role is to work as a key part of a multidisciplinary IVF team to provide excellent patient care for individuals and couples in aspects of fertility treatment. The nursing administrator will work within the nursing department to ensure the efficient running of the department.

Educational / Registration Requirements/Professional Experience

Academic/Professional Qualifications

Leaving Cert or equivalent

Previous experience working with clients/patients in the private sector. Ideally an administrative role in the medical sector.

Languages

  • Fluency in English language – Advanced level - written and verbal

Key Duties/Responsibilities

Filing Duties

  • Filing Consent Forms
  • Pulling patient charts for theatre
  • Assembling charts
  • Archiving charts

Ideas scanning and Data Entry

  • Scanning documents onto Ideas
  • Entering blood results in Ideas

Office Duties

  • Posting letters to patients
  • Photocopying and printing consents and other documentation

Telephone and Email Triage

  • Downloading patient calls and ensuring that nurses are aware of urgency.
  • Printing emails and orders to nurses
  • Responding to emails where appropriate

Scheduling Orders

  • Manage all scheduling orders, taking note of priority.
  • Manage scheduling diary.
  • Contact patients to book scheduling calls.
  • Maintain records of volumes of patients being scheduled on weekly basis.

Legislative Requirements

  • Understands EU Cell and Tissue Directive and the clinic responsibility regarding screening couples.
  • Data Protection/Confidentiality – understands and takes personal responsibility by following established policies and procedures.

Physical requirements of the role of the role

  • Sitting at a computer screen in line with recommended H&S standards
  • Sitting to standing frequently
  • Sitting desk based for required periods in line with recommended H&S standards.

Grooming Standards

Non-Clinical Area

  • Staff should be clean, neat, and tidy.
  • Wearing appropriate uniform and name badge
  • Uniform including shoe wear should fit appropriately.

Clinical Area

  • Hair tied up.
  • Nails trimmed and no nail varnish, acrylic or false nails.
  • No jewellery from elbow except a plain band
  • No long sleeves under uniform when performing clinical procedures.
  • Hair net in theatre area/beard net for bearded employees
  • No scented creams/perfumes in theatre area
  • Appropriate clinical footwear - Clogs must be worn.
  • Plastic aprons to be worn when requested.

Terms and Conditions of Employments

· Contract: Full Time, Permanent

· Location: Clonskeagh Clinic

· Working Hours 37.5 hours per week.

· Working Week Mon to Fri - Occasional weekend required

· Salary €28,000 – €33,000 depending on experience.
