We are seeking a detail-oriented and organized Administrative Assistant to join our team at Miss Paper Cut, a thriving print shop specializing in [e.g., custom printing, signage, promotional materials]. The ideal candidate will play a vital role in supporting daily operations, providing excellent customer service, and ensuring efficient administrative processes.

Administrative Support:

  • Answer and direct phone calls, emails, and in-person inquiries professionally.
  • Schedule appointments and maintain calendars for production and client meetings.
  • Manage office supplies inventory and place orders as needed.
  • Assist with record-keeping and file management (both digital and physical).

Customer Service:

  • Provide information about services, products, pricing, and timelines.
  • Process orders, including creating and managing invoices, quotes, and work orders.
  • Resolve customer inquiries and escalate issues to the appropriate team members when necessary.

Production Coordination:

  • Communicate with production staff to ensure timelines and specifications are met.
  • Track and manage job progress, updating clients on the status of their orders.
  • Collaborate with team members to streamline workflow and maintain deadlines.

Financial Support:

  • Process and manage payments
  • Prepare basic financial reports, including tracking sales and expenses.

Required Skills and Qualifications:

  • High school diploma or equivalent; associate degree preferred.
  • 1-2 years of administrative or customer service experience, preferably in a print shop environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic knowledge of bookkeeping software or systems.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication abilities.
  • Ability to work collaboratively in a fast-paced environment.

Preferred Skills:

  • Experience with Adobe Illustrator and/or Adobe Photoshop
  • Knowledge of printing and design terminology
  • Familiarity with social media and marketing support is an advantage.

Job Types: Full-time, Permanent

Pay: $17.50-$22.50 per hour

Expected hours: 30 – 40 per week
