Office & Administration Property Manager
Location: North York, ON (Hybrid – On-Site + Remote Flex)
Compensation: CA$49,000–$58,000 (based on experience)
Experience Required: Minimum 3 years in property management administration with Buildium or Yardly experience.
About the Role
Marco Property Management is seeking an Office & Administration Manager to oversee day-to-day operations, manage inbound communications (“the hot desk”), and ensure a seamless experience for both tenants and property owners.
You’ll serve as the central point of coordination — managing the flow of information, assigning and following up on action items, and ensuring every process, from move-ins to move-outs, runs smoothly.
This is a role for a detail-obsessed organizer who thrives in a fast-paced, collaborative environment and understands the unique demands of residential property management.
Your Mission
Keep the engine running. You’ll make sure no communication is missed, every task is delegated and tracked, and the Marco team stays organized and accountable.
You’ll also support move-in/move-out logistics, vendor coordination, and data accuracy across our management platforms.
Key Responsibilities
1. Communications & Coordination (Hot Desk Management)
- Serve as the main point of contact for all inbound calls, emails, and messages.
- Prioritize, manage, and delegate communications to the appropriate team member or department.
- Maintain a tracking system to ensure all inquiries are resolved promptly.
- Respond directly to general tenant or landlord questions when possible.
- Maintain professionalism and clarity in all communication channels.
2. Move-Ins / Move-Outs & Property Administration
- Coordinate move-in/move-out processes including inspections, keys, utilities, and documentation.
- Maintain organized digital files and records in Buildium or Yardly.
- Prepare lease packages, renewal letters, and legal notices (N1, N4, etc.).
- Support property managers with onboarding new landlords and tenants.
- Track turnovers, ensure cleaning/repairs are completed, and update property status in the system.
3. Operations & Process Management
- Maintain accuracy of tenant and property data across management software.
- Handle rent collection tracking, invoices, and basic bookkeeping support.
- Coordinate with maintenance vendors, cleaners, and contractors as needed.
- Support management in identifying process gaps and proposing improvements.
- Ensure all administrative deadlines and compliance tasks are met on time.
4. Leadership & Support
- Act as the communication hub between departments (leasing, accounting, maintenance).
- Provide administrative guidance to junior or part-time team members.
- Report directly to the General Manager and provide daily/weekly task updates.
- Uphold company standards of service excellence and confidentiality.
What We’re Looking For
- 3+ years experience in property management administration (required).
- Experience with Buildium or Yardly property management software (required).
- Strong understanding of Ontario Residential Tenancies Act (RTA) or willingness to learn.
- Excellent organizational skills — able to track multiple priorities simultaneously.
- Confident, professional communicator with strong written and verbal skills.
- Resourceful problem solver who thrives on efficiency and accountability.
- Comfortable with Google Workspace, spreadsheets, and cloud-based file management.
