Job Summary:
We are seeking a detail-oriented Construction and Lumber Yard Office Administrator to join our team.
The candidate will be able to provide administrative support, manage the financial transactions and records of the company, managing office supplies, maintaining office equipment, organizing and filing documents, scheduling meetings and assisting with any other administrative tasks as needed. You may also be responsible for coordinating with other departments, handling phone calls and correspondence, and assisting with project management tasks.
Duties:
- Record keeping and documentation: You will be responsible for maintaining accurate records and documentation related to various aspects of the lumber yard's operation. Also categorizing all financial transactions, including invoices, receipts, and payments.
- Order Processing and inventory management: Processing customer orders, coordinating with the sales team and ensuring that the correct quantities and types of lumber are available. This includes monitoring inventory levels, reconciling discrepancies, and communicating with suppliers.
- Payroll processing including calculating employee hours and preparing paychecks or direct deposits.
- Manage accounts payable by processing and paying invoices from suppliers and subcontractors. You will also handle accounts receivable by invoicing customers and processing payments. This includes reconciling accounts, tracking outstanding payments, and communicating with customers or vendors.
- Generate financial reports such as balance sheets, income statements and cash flow statements to provide management with an overview of the company's financial position.
- Assist in creating and monitoring budgets for construction projects.
- Tax compliance- Ensure that the company complies with tax regulations and requirements, including filing tax returns and managing any necessary tax payments.
Qualifications:
- Proven experience as an Office Administrator, Office Assistant, or relevant role
- Experience in the construction/lumber industry is an asset.
- Proficiency in Microsoft Word, Excel and Outlook
- Excellent organizational and time management skills
- Strong communication skills with a customer service orientation
- Knowledge of office management systems and procedures
- Ability to multitask and prioritize daily workload
