Job Overview
We are seeking a detail-oriented and organized Office Assistant to join our team. The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office. This role involves a variety of tasks that require strong communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
Duties
- Manage front desk operations, including greeting visitors and answering inquiries
- Handle multi-line phone systems, ensuring effective communication with clients and staff
- Perform data entry tasks accurately and efficiently
- Maintain organized filing systems for easy retrieval of documents
- Assist with bookkeeping and basic accounting tasks using Sage and other software programs
- Provide excellent customer service and support to clients, addressing their needs promptly
- Utilize Microsoft Office Suite and Google Workspace for document creation and management
- Proofread documents for accuracy and clarity before distribution
- Support administrative functions such as scheduling appointments, managing calendars, and coordinating meetings
- Assist in maintaining a clean and organized office environment
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
- Strong computer skills with the ability to learn new software quickly
- Previous office experience with clerical duties preferred
- Excellent organizational skills with attention to detail
- Strong typing skills for efficient data entry
- Effective phone etiquette for handling customer inquiries professionally
- Experience in customer service or customer support roles is highly desirable
- Familiarity with medical or dental office environments is a plus, including experience as a dental receptionist or in bookkeeping tasks
